Job description
Overview
Aneurin Bevan University Health Board is seeking an organised, motivated, and personable secretary/team administrator to support a busy Adult ADHD service. This role acts as the initial point of contact for the service and requires someone who can respond appropriately to enquiries from patients, parents or carers, and other professionals. You will also provide comprehensive secretarial and administrative support to the Integrated Autism Service across health and social care needs.
Key Duties
The position involves a broad range of administrative work to keep patient records accurate and up to date. You will work closely with clinicians in the Adult ADHD service, manage clinic administration, and help ensure the service runs smoothly and efficiently.
Administrative Tools and Systems
You should be confident using Microsoft Word, Excel, and Outlook, have strong keyboard skills, and be able to work with patient record systems such as WCCIS. The role also includes arranging clinic rooms, scheduling appointments, and booking patients into clinics.
Working Style and Communication
Strong organisation and the ability to prioritise tasks are essential. The post also requires excellent interpersonal and telephone communication skills, a courteous and professional approach, sensitivity, and a consistent commitment to confidentiality.
Employment Details
This is a fixed-term/secondment position of 37.5 hours per week, lasting 9 months until 31 March 2027 because of funding. If you are applying for the secondment route, you must obtain approval from your current line manager before submitting your application.
Welsh Language and Inclusivity
The ability to speak Welsh is desirable, and Welsh and English speakers are equally welcome. Applications are encouraged from people with protected characteristics, including disabled and neurodiverse candidates and members of the Armed Forces Community. You may apply in Welsh, and applications submitted in Welsh will be treated no less favourably than those submitted in English.
Reasonable Adjustments and Support
If you need adjustments to take part in the recruitment process, you are encouraged to speak directly with the hiring manager listed in the advert. You do not need to share personal or medical details; simply explain the support that would help you participate fully. Large-print or alternative-format documents, including braille, can be requested through the recruiting manager or the Aneurin Bevan University Health Board recruitment team.
Recruitment and Correspondence
If you are shortlisted or offered the role, recruitment updates and the conditional offer pack will be sent by email. You should check your inbox regularly, as all recruitment correspondence will be issued to the email address used in your application. The vacancy may close early, and it can also be withdrawn if filled through internal redeployment.
