Job Overview
The GA & AP Data Controller will oversee and coordinate the tasks of team members handling general accounting accounts, excluding bank and tax accounts. This role supports the Financial Controller (FC) in preparing financial statements for Vivo Energy Guinea (VEG) and Special Purpose Vehicles (SPV), while ensuring daily monitoring of data integrity and performance indicators aligned with departmental goals.
Core Responsibilities
- Organize and preside over reconciliation committees to thoroughly analyze, justify, and validate all balance sheet accounts.
- Ensure all accounts are duly authorized by the FC and Finance Manager (FM), confirming accuracy and compliance.
- Document reconciliation meeting minutes clearly and submit them promptly to the FM.
- Implement a tracking system for progress on issues raised during reconciliations, actively follow up with relevant teams, and eliminate obstacles to timely resolution.
- Guarantee regular and compliant account reconciliations in line with internal procedures and group standards, maintaining high-quality data with appropriate supporting documents.
- Conduct thorough analysis and documentation of all variances, tracking their age, and devising corrective action plans.
- Drive continuous improvement of reconciliation processes and internal controls by identifying recurring issues and proposing corrective measures.
- Monitor departmental KPIs to ensure all metrics meet or exceed targets.
- Verify correct examination, classification, and capitalization of capital expenditures following company policies and IAS 16 / IFRS standards.
- Maintain an accurate fixed asset register detailing asset descriptions, locations, useful life, amortization methods, and asset labels; regularly reconcile it with the general ledger and resolve discrepancies promptly.
Data Integrity Management
- Confirm all integrity reports in the GOAL ZERO checklist are accurate and free from anomalies.
- Establish regular controls over these reports to quickly detect and resolve irregularities.
- Ensure all journal entries are posted in the correct accounting periods respecting cut-off rules, and all exceptions are documented and tracked until closure.
Accounts Receivable & Payable Reconciliations
- Perform reconciliations comparing AR ageing balances and open AP with general ledger accounts to identify discrepancies.
- Reconcile Goods Received Not Invoiced (GRNI) accounts with the general ledger to ensure transaction accuracy.
- Monitor and minimize unapplied cash accounts through daily reconciliation to safeguard cash flow and financial reporting integrity.
- Validate cash-paying customer accounts and report results to the FC for approval.
- Conduct monthly reconciliations of all customer and supplier accounts, including e-services related accounts, documenting and resolving exceptions promptly.
Operating Expenses (OPEX) Analysis
- Analyze expenses by Class of Business (COB), comparing current costs to budgets and prior periods to identify and explain significant variances.
- Verify key expenditure categories such as Maintenance & Services and bank charges for accuracy, appropriate classification (OPEX vs CAPEX), and proper period assignment.
- Ensure each expense is recorded in the correct general ledger account and assigned to the correct cost center and COB, recommending reclassifications if necessary.
- Review purchase requisitions, purchase orders, and accrued expenses to ensure completeness and timely cut-off.
- Prepare and document expense justifications and variance analyses for validation by the FC.
Key Challenges
- Efficiently manage a high volume of financial transactions with strong organizational skills and analytical precision to avoid backlog and maintain data quality.
- Thorough understanding of the Order to Cash cycle to ensure reliable tracking and reconciliation of sales, billing, and collections data.
- Apply comprehensive knowledge of accounting principles, cut-off procedures, and reconciliations to maintain compliance.
- Manage monthly, quarterly, and annual closing processes, including preparation, review, adjustments, and adherence to deadlines.
- Lead reconciliation and account matching to verify accuracy and promptly isolate and address discrepancies.
- Analyze receivables and manage credit risk effectively through aging balance monitoring and recovery optimization.
- Ensure data quality by maintaining completeness, consistency, and reliability in all financial information.
- Work accurately under pressure, prioritizing tasks during peak closing periods while contributing to continuous improvement initiatives focused on standardization and automation.
- Provide leadership and supervision to the team, supporting skill development and tracking performance.
Qualifications
- Bachelor's degree or equivalent in finance or accounting (BAC+4 level).
- Between 3 to 5 years of relevant professional experience.
- Familiarity with SYSCOA tax and accounting standards.
- Proficiency in Microsoft Excel and strong computer skills.
- Experience using SAP, particularly the Fixed Asset and Accounts Receivable modules.
- Ability to work effectively under pressure and respond to requests within set timeframes.
