About the role

LivWell Infusions is looking for a highly organized, detail-focused, bilingual Medical Scheduler to support its healthcare operations. This role centers on coordinating patient appointments, aligning clinician schedules, and helping keep day-to-day center activities running smoothly.

Key responsibilities

  • Organize and update patient appointments while balancing urgency, provider availability, and patient preferences.
  • Manage a large volume of inbound calls and emails, answering questions and resolving scheduling issues.
  • Keep patient details current and accurate in the electronic medical record (EMR) system.
  • Work closely with clinicians and administrative teammates to fix scheduling conflicts and make the best use of available resources.
  • Handle appointment modifications, cancellations, and rescheduling in a timely manner.
  • Follow patient privacy rules and comply with facility procedures at all times.
  • Support infusion centers in Northern California by assisting at the front office when needed.

Qualifications

  • A high school diploma is required; an associate degree or bachelor’s degree is preferred.
  • At least 2 years of experience in a healthcare environment, ideally in scheduling.
  • Comfort using medical scheduling tools and EMR platforms.
  • Working knowledge of medical terminology and insurance processes.
  • Strong communication and client service abilities.
  • Capability to manage multiple tasks, set priorities, and maintain accuracy.
  • Well-developed organization and time management skills.

Work environment

This is an in-office position with a 40-hour workweek, supporting scheduling operations for Northern California locations. A flexible schedule may be necessary to meet patient needs across different time zones.
