Role overview

Rothman Orthopaedics is hiring a full-time Physical Therapy Front Desk Receptionist for its Chalfont, PA office. This position is based on site and follows a Monday through Friday schedule from 7:00 AM to 3:30 PM.

What the role does

In this role, you will be the first point of contact for patients and visitors in the physical therapy area. You will welcome people, guide them through the check-in and check-out process, manage appointments, verify insurance benefits for PT/OT services, and help ensure visits are properly authorized. The position also acts as a connector between patients and the PT/OT staff.

Performance priorities

Success in this role is measured by stronger patient satisfaction, accurate collection of co-pays, effective referral tracking, precise timestamping, correct demographic and insurance entry, efficient time management, proper chart preparation for insurance and referral processing, and flexibility to cross-train and support other areas when needed.

Primary duties

  • Welcome patients and visitors in a timely, polite, and supportive way.
  • Register patients, confirm details, and keep demographic and insurance information current in eCW.
  • Mark patient arrivals and referral details in the eCW system.
  • Enter co-pay amounts and communicate related notes to the Business Office through eCW.
  • Check patients out and schedule follow-up visits with the physical therapy provider.
  • Manage scheduling for physical therapists, including incoming calls, appointment coordination, and calendar flow, while accounting for time off.
  • Confirm and record physical therapy and/or DME/splint benefits for all new patients.
  • Prepare and submit the forms and clinical information needed to secure insurance authorization.
  • Monitor approved PT visit counts, unit limits, and time limits, and alert therapists when additional visits must be requested.
  • Provide therapists with the appropriate documentation when clinical details are needed for initial or continued authorization requests.
  • Assemble new patient packets containing the PT benefit verification form, therapy questionnaire, and prescription.
  • Scan patient documents into eCW, including benefit verification forms, authorizations, questionnaires, prescriptions, and home exercise programs.
  • Collect self-pay and supply payments according to the applicable fee schedules on the RI Intranet Therapy tab.
  • Answer calls, screen inquiries, take messages, and share routine information.
  • Support patients who have mobility challenges.
  • Screen visitors and respond to standard information requests.
  • Keep the lobby and front desk area clean, organized, and ready for use.
  • Restock front desk supplies as needed for the day.
  • Collect the correct insurance co-pay details and referral information.
  • Complete end-of-day batching and reconcile payments.
  • Help other front desk staff when dealing with upset or difficult patients.
  • Prepare materials for the following business day, including referral numbers and authorization numbers for PT/OT visits and splints.
  • Print the paperwork needed for each patient’s therapy appointment.
  • Work with the Patient Responsible team to pursue past-due balances.
  • Attend required meetings.
  • Carry out related tasks as assigned.
  • Perform other duties assigned by management or the director.

Requirements

  • High school diploma or GED is required.
  • At least 1 year of experience in a medical office setting is required.
  • Strong computer proficiency, including Microsoft Office, is required.
  • Familiarity with business office processes and medical terminology is preferred.

Schedule

This is a Monday-to-Friday role with working hours from 7:00 AM to 3:30 PM.

Compensation

The posted pay range is $16.00 to $22.00 per hour.
