Role Overview
The company is hiring a Front Desk Executive / Administrative Executive to handle front-desk coordination and a range of administrative duties. The role involves supporting managers and staff, keeping the office running smoothly, and taking care of day-to-day administrative operations.
Key Responsibilities
- Welcome guests promptly when they arrive and guide them to the correct contact or office.
- Handle incoming calls by answering, screening, and routing them appropriately.
- Keep the reception area organized, tidy, and stocked with the required stationery and materials.
- Share accurate basic information in person, over the phone, and by email.
- Collect, sort, and distribute incoming mail and deliveries.
- Manage front-office supplies and monitor inventory levels.
- Maintain calendars, coordinate schedules, and set up meetings.
- Organize travel, accommodation, and related vouchers.
- Track office expenses and maintain updated cost records.
- Carry out routine receptionist and clerical work such as filing and photocopying.
- Prepare draft invoices after proposals or engagements are approved and seek sign-off on those drafts.
- Work with executives on requests and queries from senior management.
- Improve and update administrative processes to make them more efficient.
- Handle day-to-day administrative issues and keep employee leave records current.
- Prepare proposals and engagement documents.
- Send follow-up emails to obtain documents required for accounting and audit checklists.
- Coordinate client meetings or receive clients at the office for signature-related formalities.
- Prepare liquidation notices or newspaper advertisements, obtain scanned and physical copies, and arrange them for review and approval.
Requirements
- 2 to 3 years of UAE experience in a front desk or administrative role.
- Working knowledge of Microsoft Office tools.
- Professional demeanor and presentable appearance.
- Ability to act quickly and solve issues proactively.
- Strong multitasking and time-management abilities with the capacity to prioritize work.
- Customer-oriented approach.
- Clear written and spoken communication skills.
Compensation and Benefits
Pay will be competitive and aligned with the candidate’s experience. The company will also provide a UAE residence visa and medical insurance.
Additional Information
The position is based in Dubai and is a full-time, on-site role.
