Role overview

This position is for someone who keeps every moving part on track. The founders move quickly across sales pipelines, fundraising, events, active projects, product work, hiring, and new initiatives, and this role holds the operational centre so important tasks do not get missed.

About the company

Pints AI builds private, on-premises AI infrastructure for banks, insurers, and other regulated enterprises across APAC and the Middle East. The company is scaling quickly. This role reports to the CEO, works closely with both founders, and supports the core operations of the business.

What the job is really like

This is an intense, high-responsibility role. You will work with both founders, which gives you close exposure to how the company is run, but also means balancing two different sets of priorities, working styles, strengths, and gaps at speed. Working hours follow a founder-style rhythm; while the aim is usually around 9 to 6, you may still be contacted outside those hours, including on a Saturday evening. Travel may also be required for the founders, the team, and potentially for you when needed.

This level of pressure is part of the opportunity to be close to a venture-backed AI company. If you want to learn how a company like this is actually built, this could be a strong fit. If you need a predictable routine, it will likely not suit you. The role is not only about handling pressure, though; it is about keeping everything moving without letting anything fall through the cracks. Success here requires someone who is highly dependable, detail-oriented, and comfortable getting things right the first or second time.

Key ownership areas

  • Keep commitments moving by following up on every non-sales promise, both internally and externally, until completion, and flag risks early.
  • Handle office operations and day-to-day administration, including vendors and logistics.
  • Coordinate travel, bookings, and visa arrangements for the founders and team across APAC and the Middle East.
  • Prepare grant applications and compliance documentation accurately, then submit them for founder review.
  • Create concise reports and briefing notes by converting operational data, sales numbers, and financial information into clear summaries.
  • Improve efficiency by building simple tools and AI-based agents that reduce repetitive work and do not rely on constant manual supervision.

Who will succeed in this role

The right candidate brings 3 to 6 years of experience in operations or coordination work where they were accountable for outcomes, not just administration. You should take pride in accuracy and feel strongly about avoiding repeat mistakes. You are expected to use AI tools practically to speed up your own work, and not just as a trend. Beyond chat-based tools such as Claude or ChatGPT, you should also be able to build solutions that continue to work beyond a single conversation.

You should feel comfortable in a startup environment where priorities, plans, and scope can shift from week to week. A strong instinct for asking one good clarifying question before acting is important.

Working arrangement and compensation

This is a full-time, in-office role based in Singapore and is not remote. Travel is expected as needed across APAC. Compensation is flexible and falls between USD 5,000 and USD 7,500, depending on experience.
