About the Role and Organisation

The Victorian Amateur Football Association (VAFA) is recognised as Australia’s largest and most innovative community football league providing diverse competitions across men’s, women’s, juniors', and representative football tiers. This pivotal role of Football Administration & Operations Coordinator is embedded within the Football Operations Team, tasked with the efficient administration and management of VAFA competitions. This includes oversight of representative football, finals series coordination, and ensuring compliance with league rules and regulations.

Reporting to the Football Operations Manager, this position operates within a dynamic, high-performing team environment. The role involves fostering strong collaboration with clubs, volunteers, and other key stakeholders to ensure smooth football program delivery.

Key Responsibilities

  • Manage administrative tasks related to the organization of VAFA competitions.
  • Support the development and maintenance of competition fixtures, scheduling, and football operations databases.
  • Provide responsive assistance to clubs regarding football operations inquiries.
  • Maintain precise documentation and records relating to the competitions.
  • Organize and coordinate representative football program logistics including team selection communications and venue bookings.
  • Support on-match-day operations to assure successful delivery of games and events.
  • Participate in the planning and execution of the VAFA Finals Series, including venue preparations and operational logistics.
  • Assist with event management on match days involving ticketing, medals, cups, and liaising with various stakeholders like clubs, volunteers, and suppliers.
  • Deliver support across all projects and initiatives within the Football Department, maintaining departmental records and supporting stakeholder engagement activities.
  • Perform additional duties as assigned to support the efficient football operations function.

Required Qualifications and Experience

  • Possession of a relevant tertiary qualification is essential.
  • Must hold a Working with Children or Working with Vulnerable People check.
  • Demonstrated superior organizational skills with a strong eye for detail.
  • Excellent verbal and written communication aptitudes.
  • Capability to juggle multiple priorities efficiently and meet deadlines.
  • Strong abilities in stakeholder relationship management and customer service.
  • Proficiency in Microsoft Office applications and a high degree of computer literacy.
  • Flexible availability to work evenings and weekends, especially during the football season.

Preferred Qualifications and Attributes

  • Experience within sports organizations, particularly community sporting competition administration.
  • Familiarity with PlayHQ software and knowledge of AFL Victoria or VAFA rules and competitions.
  • Background in event or competition management.
  • Skills in data analysis and reporting.
  • Sports Management or Business Degree preferred.
