Role Overview
We are seeking a Food & Beverage Administrative Executive to provide vital administrative and operational assistance to both Food & Beverage Service and Culinary teams. The role ensures seamless daily operations and event coordination, supporting general administration while contributing to superior guest experiences.
Key Responsibilities
- Manage clerical and administrative tasks for F&B and Culinary leadership.
- Support F&B operations by assisting with guest service delivery as necessary.
- Organize and maintain filing systems for departmental documents.
- Handle reception, documentation, distribution, and follow-up of work requests following standard operating procedures.
- Prepare and assist in reports, presentations, meeting minutes, and related documents.
- Coordinate both internal and external communications for F&B and Culinary areas.
- Oversee staff scheduling, payroll processing, leave applications, and all related data management within F&B.
- Help with menu and signage printing requirements for outlets and special events.
- Manage coordination of menu updates, cost analysis sheets, and promotional materials.
- Maintain accurate records of banquet event orders, amenity requests, and staffing.
- Assist in arranging training sessions for service and kitchen personnel.
- Collaborate with Finance to ensure precise month-end financial closure.
- Process invoices, track expenses, and monitor budgets for F&B and Culinary departments.
- Keep up-to-date records of expenses, supplier contracts, and purchase orders.
- Provide support for F&B and Culinary-related events, promotions, and administrative projects.
- Ensure adherence to hotel policies, health, and food safety standards.
- Perform any other duties assigned by management.
Qualifications
- At least two years of experience in administration, preferably within F&B or hospitality sectors.
- Well-versed in Microsoft Excel, Word, and PowerPoint.
- Excellent communication and organizational capabilities.
- Highly attentive to detail with the ability to juggle multiple tasks in a dynamic environment.
- A strong service-oriented approach with proactive problem-solving skills.
- Capable of working both independently and collaboratively.
