As the FM Maintenance and Data Subject Matter Expert (SME), you will provide expert support to users of the Facilities Management (FM) Platform and systems to ensure optimal use and achievement of business and contract goals. You will be the primary contact for current and prospective system users, guaranteeing that systems are fit for purpose, properly applied, and support business plans, statutory requirements, client expectations, and licensing obligations.
Key Responsibilities
- Manage maintenance-related content and the effective application and use of FM platform systems.
- Lead and guide stakeholders across all FM platform systems to achieve strategic business objectives by enhancing maintenance performance through system management, administration, coaching, and ensuring consistent system use.
- Develop foundational bid models aligned with Sodexo’s standard maintenance methods and tender Statements of Work.
- Translate bid and pre-commencement activities into systems, ensuring adherence to Sodexo standards.
- Ensure standardization and compliance by verifying contract accuracy and completeness with quality assurance processes.
- Drive continuous improvement by keeping systems aligned with contractual obligations and operational realities.
- Support database management and administration of CMMS platforms from location, asset, maintenance planning, and reporting perspectives.
- Assist in managing master and transactional data for CMMS platforms including D365 CE & FO, Urbanise, and Maximo.
- Perform CMMS administrative functions such as adjusting preventative maintenance schedules, updating asset and location data, creating job plans, and setting up new sites or contracts.
- Collaborate with FM operations and project teams to extract, load, validate, and report data across CMMS systems, including developing data load templates.
- Coordinate with vendors and subcontractors to input preventative and corrective maintenance data into CMMS platforms.
- Lead new contract setup by capturing due diligence data and preparing system data for loading into CMMS.
- Troubleshoot and resolve issues related to CMMS processes or data in collaboration with FM specialists and vendors.
- Support the measurement and reporting of key performance indicators (KPIs) regularly, improving processes, interpreting data, and providing recommendations based on analysis.
- Maintain integrity and management of asset data across all contracts within nominated CMMS.
- Contribute to bid teams with systems and data solutions advice for new tenders.
- Assist during contract transitions and mobilizations.
- Demonstrate self-motivation, organizational skills, critical thinking, and effective interpersonal and business communication.
- Adhere strictly to safety protocols and regulations during all duties.
- Conduct root cause analysis for issues within complex integrated software environments.
- Manage competing tasks efficiently under pressure.
- Develop strong process documentation, guides, and standards understandable by non-experts and end users.
Knowledge and Skills
- Proficiency in Power BI report development.
- Advanced skills with Microsoft Office applications.
- Extensive knowledge of asset management, work management, maintenance planning, and field service system lifecycles.
- Experience with ERP and CMMS platforms.
- Understanding of asset registers, asset classification to match maintenance requirements.
- Knowledge of Australian Standards and OEM manuals in relation to preventative maintenance schedules.
- Professional and positive representation of the organization.
Qualifications and Experience
- Trade qualification.
- Diploma or higher in Asset Management.
- Certification in CMMS systems.
- Experience in CMMS master data administration.
- Experience with zero-based budgeting.
- Maintenance planning experience.
