Role Overview

The Finance Officer supports day-to-day financial processing, including vendor invoice handling, month-end reporting, reconciliations, balance sheet review and aging analysis, while ensuring all work is completed accurately and on time.

Key Responsibilities

  • Check vendor and service-provider payment documents, as well as staff advance requests, for completeness, accuracy, and compliance with internal controls.
  • Raise payments for fully approved vouchers by uploading them promptly to the relevant payment platforms.
  • Verify tax invoices to confirm whether VAT charges are valid for each vendor.
  • Review payment vouchers and requests to ensure correct coding and proper budget approval.
  • Prepare monthly journals that support the month-end close process.
  • Submit monthly statutory filings and related payments for NSSF, PAYE, WHT, and LST within the required deadlines.
  • Prepare monthly salary journals.
  • Process mobile money payments through the mobile money platform and produce the necessary reconciliation reports.
  • Review monthly fuel usage records and allocate expenses using mileage from vehicle logs and reports.
  • Support month-end closing by reviewing balance sheet accounts for aging, following up on outstanding items, and preparing correction journals when required.
  • Maintain financial records and documents promptly and on a monthly basis.
  • Ensure transaction support documents are securely attached and organized in a logical filing system.
  • Prepare monthly bank reconciliations and track any unresolved items until cleared.
  • Work with department and project leads to estimate periodic cash needs and help maintain adequate liquidity throughout the year.
  • Monitor mobile money balances and request top-ups so payments can continue without interruption.
  • Review bank transactions regularly to confirm that payments are properly executed, only valid payments are processed from PATH’s cashbook, and bounced funds are reprocessed quickly.
  • Take part in finance and operations team meetings.
  • Coordinate with banks and other institutions on matters related to the finance officer role.
  • Help ensure that all activities are carried out transparently, collaboratively, and in line with PATH policies and procedures.

Requirements

  • A minimum bachelor’s degree, ideally in Accounting or Finance.
  • Professional qualification in CPA or ACCA is a strong advantage.
  • At least 5 years of progressive experience in a busy accounting environment, preferably within an NGO or donor-funded organization.
  • Knowledge of institutional rules and regulations.
  • Strong interpersonal skills.
  • Integrity, sincerity, honesty, respectfulness, a positive attitude, and a team-oriented approach.
  • Ability to work independently with limited supervision.
  • Strong spoken and written communication skills.
  • Good time management abilities.
  • Capacity to perform well under pressure.
  • Practical experience using an accounting software package.
