About the Role

FC Dallas is seeking a full-time Academy Administrator to serve as the primary operational and administrative lead for its esteemed academy. This crucial role involves overseeing player registration and compliance, managing travel logistics, coordinating competition administration, scheduling, communication, game operations, and providing essential day-to-day support. The Academy Administrator will collaborate closely with coaches, technical staff, players, families, league officials, and various club departments to ensure the academy functions with peak efficiency and upholds the highest professional standards. This position is instrumental in fostering a world-class environment dedicated to player development and organizational excellence. The ideal candidate possesses strong organizational capabilities, meticulous attention to detail, the ability to juggle multiple priorities, and a dedication to providing outstanding service to all academy stakeholders. Please note that work will include evenings, weekends, and holidays, aligning with the academy's competition schedule.

Key Responsibilities

  • Spearhead all academy player onboarding, including registration, documentation, and adherence to compliance requirements.
  • Facilitate player school enrollment and registration processes as needed.
  • Manage OCPE registrations and associated paperwork.
  • Coordinate player physical examinations and medical clearance procedures.
  • Administer player agreements, waivers, and all necessary club documentation.
  • Oversee MLS NEXT player registration and ensure roster compliance.
  • Coordinate concussion testing and other league-mandated player requirements.
  • Process International Transfer Certificates (ITCs) and manage international registration procedures.
  • Maintain precise player records and guarantee compliance with all league, federation, and club regulations.
  • Act as the main coordinator for all academy travel operations, including flights, accommodations, transportation, meals, and incidentals.
  • Cultivate and manage relationships with travel vendors and agency partners.
  • Develop and distribute detailed travel itineraries and essential information to staff and families.
  • Coordinate travel logistics for league matches, tournaments, and special events.
  • Ensure timely and accurate completion of all travel documentation and requirements.
  • Support the planning and logistics for international trips, including roster management and participant communication.
  • Manage league and competition registrations for all academy teams.
  • Coordinate roster submissions and ensure compliance with league requirements.
  • Submit lineups and all required match documentation.
  • Maintain player eligibility records and competition databases.
  • Coordinate tournament registrations, roster submissions, and player card requirements.
  • Serve as the primary administrative contact for league officials and competition organizers.
  • Ensure fulfillment of all league mandates and operational requirements.
  • Manage the daily operational schedules and calendars for the academy.
  • Coordinate field assignments and facility usage.
  • Maintain academy training schedules and competition calendars.
  • Facilitate communication between coaches, players, families, and staff as directed by the club.
  • Act as the primary administrative liaison between the academy and other club departments.
  • Support academy staff meetings and operational planning initiatives.
  • Manage communications, documentation, and scheduling for player trials.
  • Coordinate player movement and roster management across different academy phases and teams.
  • Lead the planning and execution of home match operations.
  • Coordinate game day logistics for visiting teams and match officials.
  • Manage referee assignments, payments, and communication.
  • Coordinate match filming and video requirements.
  • Ensure field setup and adherence to game day operational standards.
  • Serve as the main point of contact for visiting team administrators.
  • Oversee match day compliance and league operational requirements.
  • Process invoices, check requests, and other department financial documentation.
  • Coordinate the ordering and inventory of academy equipment.
  • Assist with equipment distribution and organizational processes.
  • Plan and coordinate academy events, meetings, and special initiatives.
  • Support fundraising and payment collection for academy programs and international travel opportunities.
