Job description

Role overview

The Facilities Officer will support day-to-day facilities operations in Singapore, with a strong focus on the CMMS platform, job tracking, reporting, and administrative coordination across sites.

Core duties

  • Take ownership of the CMMS process and monitor incoming feedback to route tasks appropriately across all sites.
  • Make sure corrective and preventive maintenance work orders are entered, assigned, completed, and closed in the correct sequence.
  • Maintain accurate records by entering relevant information into the system.
  • Coordinate with clients whenever updates or feedback need to be shared.
  • Arrange the monthly client meeting and support related coordination.
  • Help prepare the monthly report for submission.
  • Track monthly document submissions and follow up where needed.
  • Provide administrative assistance to the manager, including organisation chart updates, consolidation of new hire details, and vendor manpower changes.
  • Issue security clearance notices to the client.
  • Support BMC-related duties when the BMC staff member is on leave.
  • Handle general administrative support whenever required by the team.
  • Keep track of office stationery and supply inventory.
  • Manage documents efficiently through printing, scanning, filing, and dispatching.
  • Carry out any other tasks assigned by the supervisor.
