Role Overview
This position calls for a proactive, enthusiastic professional who can communicate exceptionally well, deliver outstanding service, and contribute practical solutions. The role supports the General Manager with a complete range of executive secretarial and administrative duties, including handling highly sensitive and confidential matters to keep the executive office running efficiently.
Key Duties
- Prepare all outgoing communication to a high standard by typing, proofreading, and sending it promptly.
- Draft routine correspondence and, when needed, provide straightforward interpretations of documents or letters.
- Screen incoming mail, organize it by priority, and pass it on to the General Manager.
- Manage standard correspondence requests and keep the General Manager informed, such as requests for memberships, accommodation, brochures, and similar items.
- Maintain an up-to-date calendar to support appointments and meeting arrangements.
- Create and preserve filing systems, records, and business contact databases, while tracking pending tasks and following up where necessary.
- Write letters on behalf of the General Manager.
- Join meetings, take minutes, circulate them, and monitor follow-up actions.
- Arrange travel and external business trips for the General Manager.
Education and Experience
A college diploma in secretarial training along with relevant prior experience is preferred. Strong spoken and written English is required, as well as the ability to take accurate meeting notes and produce a clear record of discussions. Good computer skills and the capability to type accurately at 60 words per minute are highly valued.
