Role Overview
We are looking for a meticulous and forward-thinking Executive Secretary & Business Support Executive to offer full secretarial, administrative, and business support to our Managing Director and Senior Management Team. This position is a vital liaison role, ensuring smooth communication and coordination amongst management and internal departments, timely progress on action items, and seamless execution of business initiatives. Key responsibilities include managing executive office operations, contributing to management reporting, consolidating data, coordinating projects, and handling various administrative duties with utmost professionalism and confidentiality.
Responsibilities
- Deliver comprehensive secretarial and administrative assistance to the Managing Director and Senior Management Team.
- Oversee calendar management, arrange meetings, coordinate travel plans, and handle correspondence for executives.
- Develop meeting agendas, create presentations, record minutes, and monitor follow-up actions.
- Consolidate operational reports and assist in preparing management dashboards and presentations.
- Coordinate cross-departmental activities, ensuring follow-up on assigned tasks and deadlines.
- Act as a point of contact for internal and external stakeholders to facilitate communication and resolve issues.
- Generate routine reports, maintain reporting databases, and perform foundational data validation and analysis.
- Organize management meetings, corporate events, customer visits, and manage travel logistics.
- Maintain confidential documents, structured filing systems, and business records.
- Support various ad-hoc projects and tasks assigned by the Managing Director and Senior Management.
Requirements
- Diploma or Degree in Business Administration, Management, Economics, or related field.
- 3 to 5 years' relevant experience in executive secretarial, executive assistant, administrative, or business support roles.
- Previous exposure to supporting senior management is advantageous.
- Proficiency with Microsoft Office suite including Excel, PowerPoint, Word, and Outlook.
- Basic familiarity with Power BI and ERP systems such as Oracle or NetSuite is a plus.
