About the Organization
International Community Schools (ICS) is a well-established education group in Abu Dhabi that operates six schools. The organization is looking for a polished, highly organized Executive Secretary / Executive Assistant to support the CEO with full-spectrum administrative and executive assistance.
Key Responsibilities
- Keep the CEO’s schedule organized, including appointments, meetings, and travel planning.
- Prepare meeting materials such as agendas, presentations, reports, and minutes.
- Write, edit, and handle formal communication in both English and Arabic.
- Serve as the main liaison between the CEO and both internal teams and outside stakeholders.
- Store and manage sensitive records, documents, and executive files with strict confidentiality.
- Work with school leaders and department heads across all six branches.
- Monitor follow-up actions and ensure timely completion of executive decisions.
- Arrange executive meetings, events, and official visits.
- Support the CEO with general administrative and executive tasks as needed.
Requirements
- A bachelor’s degree in Business Administration, Management, or a closely related discipline.
- At least 3–5 years of experience in an Executive Secretary or Executive Assistant role supporting senior leadership.
- Strong command of both Arabic and English, including reading, writing, and speaking.
- Prior experience in the education or school environment is strongly preferred.
- Excellent communication skills, both written and spoken.
- Well-developed organizational, multitasking, and time-management abilities.
- A professional approach, strong integrity, and the ability to maintain confidentiality.
- Advanced working knowledge of Microsoft Office tools such as Word, Excel, PowerPoint, and Outlook, along with digital collaboration platforms.
Preferred Qualifications
- Background supporting C-level executives or other senior leaders.
- Familiarity with UAE education-sector practices and formal business correspondence.
- Strong attention to detail and the ability to stay effective in high-pressure situations.
