Role overview
This position supports the daily functioning of the Human Resources team at NoMad Singapore. The role combines HR administration, HRIS upkeep, employee file management, recruitment coordination and workplace experience support. It also helps ensure HR information stays accurate, processes align with employment laws, and team members receive timely support throughout the employee journey.
HR administration and HRIS management
- Keep employee records, personnel files and HR databases current, complete and aligned with company rules and regulatory standards.
- Draft and process HR letters and documents such as employment contracts, confirmation letters, promotion letters, transfer letters and resignation paperwork.
- Enter HR data accurately and on time into the HR information system while protecting the privacy and integrity of employee information.
- Carry out routine checks of HRIS data so organisational details, employee records and job information remain correct.
- Help maintain, test and improve HRIS workflows and related processes.
- Prepare HR reports and dashboards covering headcount, attrition, hiring, leave and other people-related metrics.
- Organise both digital and paper filing systems so records are secure, structured and compliant with retention requirements.
- Support employee master data and documentation needs for payroll, benefits and statutory reporting.
Recruitment and onboarding
- Coordinate recruitment administration, including interview scheduling, interview materials and communication with candidates.
- Assist hiring managers with the administrative steps involved in the selection process.
- Prepare onboarding documents and materials for new hires.
- Manage pre-employment steps such as reference checks, medical tests and supporting documents where needed.
- Help deliver a smooth and welcoming onboarding experience for new team members.
- Maintain hiring trackers and candidate records, ensuring follow-up happens promptly.
Workplace experience and employee engagement
- Assist with employee engagement programmes, celebrations and recognition activities.
- Support the organisation of hotel events, team activities, orientation sessions, wellness programmes and workplace experience campaigns.
- Coordinate event logistics, communications and administrative support for internal activities and learning sessions.
- Work with different departments to foster a positive, inclusive and engaging culture.
- Contribute to initiatives that improve satisfaction, belonging and the overall employee experience across the employee lifecycle.
Employee records and compliance
- Maintain employee records covering personal details, contracts, certifications, performance documents and statutory files.
- Assist with work pass applications, renewals, cancellations and related government submissions for foreign employees.
- Track probation end dates, contract expiries and mandatory certification deadlines, and follow up as needed.
- Make sure HR processes follow company policy, employment law and internal audit expectations.
- Handle all employee information and sensitive documents with strict confidentiality.
HR operations support
- Respond to HR queries from team members in a professional and timely way.
- Support payroll administration by ensuring employee data and documents are submitted within required timelines.
- Assist with leave administration, benefits enrolment and other employee lifecycle processes.
- Prepare reports, presentations and administrative materials for management meetings and HR projects.
- Support department projects, pre-opening activities and continuous improvement efforts that strengthen HR efficiency.
- Carry out other responsibilities assigned by the Director of Human Resources or Human Resources Manager.
Qualifications
- A diploma or degree in Human Resources, Business Administration or a related discipline is preferred.
- At least 1 to 3 years of HR or administrative experience, ideally in hospitality or service-based industries.
- Strong working knowledge of Microsoft Office, especially Excel, Word and Outlook.
- Experience with HR information systems is beneficial.
- Well-developed organisational, administrative and data-handling abilities.
- High attention to detail and strong accuracy.
- Good communication and interpersonal skills.
- Ability to protect confidentiality and manage sensitive information professionally.
- Comfort with multitasking in a busy, fast-moving environment.
- Knowledge of the Singapore Employment Act and work pass administration is an advantage.
