About the Role
This position sits within the Executive Office and supports the Chief Executive Office in coordinating strategic priorities across the organisation. The role works closely with the Strategic Communications Manager and contributes to internal communications, digital channels, events, and executive administration. It plays an important part in helping connect divisions, support collaboration, and advance organisation-wide initiatives, including sustainability and climate action.
Key Responsibilities
The successful candidate will assist the EO team across communications and administration activities, with a strong emphasis on internal communications, digital content, events support, and office procedures.
- Maintain the cross-divisional information, events, and awareness calendar.
- Plan, coordinate, and help produce monthly all-staff webinars and other events, including content preparation.
- Organise and schedule material for the quarterly CEO newsletter.
- Support the creation, rollout, and review of internal communications initiatives by working with divisions and departments on content.
- Refresh intranet content and help keep messaging aligned across internal and external channels such as TV screens, LinkedIn, and the website.
- Handle the internal communications mailbox and respond to queries.
- Provide communications and administrative support for blended working.
- Prepare updates, reports, and presentations on projects and initiatives.
- Track, measure, and report on internal communications activity.
- Schedule, coordinate, and produce LinkedIn content, including analytics and reporting.
- Assist with website updates.
- Coordinate with external organisations regarding conferences and event participation.
- Prepare event and conference materials such as presentations, briefing notes, and branding assets.
- Help develop Executive Office processes and procedures.
- Support procurement of services and resources connected to Executive Office activity.
Requirements
The role calls for an experienced office professional who can manage busy workloads, communicate clearly, and work confidently across multiple tasks and stakeholders.
- At least 2 years of relevant, satisfactory experience in a busy office setting.
- Strong verbal and written communication ability.
- Intermediate to advanced proficiency in MS Office, especially Word, Excel, PowerPoint, and Outlook.
- Working knowledge of MS Teams or comparable shared platforms, plus the ability to learn new software quickly.
- Excellent organisation skills with strong attention to detail and sound numerical and analytical ability.
- Experience working with diverse teams.
- Proven ability to handle a substantial workload and manage multiple departmental projects at the same time.
- Capability to work independently and manage several priorities simultaneously.
- Ability to meet tight deadlines and prioritise effectively.
- Understanding of, or ability to quickly adapt to, a public sector working environment.
- Fluency in English, both spoken and written.
