Role Overview

This role, based in Darwin, is ideal for a highly organized and forward-thinking Executive Assistant who has experience supporting senior management in a dynamic and fast-paced setting. The position is initially a fixed-term contract with significant prospects for becoming permanent for the ideal candidate. The successful applicant will excel at managing multiple priorities, using sound judgment, and ensuring comprehensive support for the Managing Director and CEO.

Key Responsibilities

  • Deliver top-tier administrative and operational assistance to the Managing Director and CEO, maintaining efficient coordination and execution of daily activities.
  • Manage the Managing Director and CEO's schedule, priorities, and communications, facilitating effective meetings and engagements with a variety of stakeholders.
  • Prepare precise agendas, minutes, reports, and correspondence, ensuring accurate documentation and prompt follow-up.
  • Serve as the primary liaison between the Managing Director and CEO and internal as well as external parties, including board members, government officials, and industry partners.
  • Organize corporate events, sponsorships, and functions, handling all planning, logistics, and financial aspects.
  • Coordinate domestic and international travel plans, managing itineraries, accommodations, and expense tracking.
  • Administer legal and compliance-related tasks such as processing necessary documents, managing licenses and certifications, and aiding contractual communications.
  • Maintain organized and up-to-date records, filing, and document control systems.
  • Support financial administration with tasks including invoice management, expense reconciliation, and reporting assistance.
  • Manage confidential business and personal matters with the utmost discretion and professionalism.
  • Coordinate personal appointments and commitments for the Managing Director and CEO ensuring seamless alignment with business responsibilities.
  • Offer ad hoc support across executive and company initiatives, promoting continuity and responsiveness.

Required Qualifications and Skills

  • Proven experience as an Executive Assistant or in a senior administrative position supporting executive leadership.
  • Excellent organizational abilities and time management skills with strong multitasking capabilities.
  • Effective communicator with confidence in engaging senior personnel, governmental representatives, and partners.
  • High standards of professionalism, discretion, and confidentiality in handling sensitive information.
  • Proficiency in Microsoft 365 applications including Word, Excel, PowerPoint, and SharePoint, along with other business systems.
  • Attention to detail and commitment to delivering accurate, high-quality outputs.
  • Ability to exercise sound judgment, navigating ambiguity by asking pertinent questions to clarify issues.
  • Capable of independent work as well as contributing positively within a team environment.
  • Experience managing events, travel, and executive logistics.
