Role Overview

This position is based in Darwin and is ideally suited for a highly organized, proactive Executive Assistant with prior experience supporting senior executives in dynamic environments. The engagement begins as a fixed-term contract with strong potential for permanent employment. The successful candidate will excel at juggling multiple priorities, exercising sound judgment, and providing top-tier support to the Managing Director (MD) & CEO.

Key Responsibilities

  • Provide comprehensive administrative and operational assistance to the MD & CEO, ensuring smooth daily coordination and execution.
  • Manage the executive calendar, prioritizing commitments, scheduling meetings, and liaising with stakeholders.
  • Draft and prepare precise agendas, meeting minutes, reports, and correspondence with follow-up as needed.
  • Serve as the primary liaison between the MD & CEO and internal/external parties such as Board members, government officials, and industry partners.
  • Organize and oversee corporate events, sponsorships, and functions, handling logistics and financial aspects.
  • Arrange and coordinate domestic and international travel, including booking itineraries, accommodations, and monitoring expenses.
  • Support legal and compliance efforts by managing documentation, licenses, certifications, and contract communications.
  • Maintain accurate records, efficient filing systems, and document control protocols to preserve data accessibility and organization.
  • Assist with financial processes including invoice handling, expense reconciliation, and reporting assistance.
  • Handle all sensitive and confidential matters relating to business or personal issues with discretion and professionalism.
  • Schedule the MD & CEO’s personal appointments, integrating them smoothly with professional priorities.
  • Provide flexible, ad hoc support across senior leadership and business initiatives to ensure operational continuity.

Candidate Profile

  • Experience in an Executive Assistant or senior administrative role supporting high-level executives, preferably in a fast-paced setting.
  • Exceptional organizational and time management skills; ability to multitask and prioritize effectively.
  • Strong interpersonal and communication abilities to confidently engage with senior stakeholders and external bodies.
  • High standards of professionalism and confidentiality in handling sensitive information.
  • Proficiency in Microsoft 365 applications (Word, Excel, PowerPoint, SharePoint) and relevant business systems.
  • Keen attention to detail delivering precise and high-quality work outputs.
  • Sound judgment and decisiveness, with a proactive approach to clarifying ambiguities and resolving issues.
  • Ability to work both independently and within a collaborative team environment.
  • Experience organizing events, travel arrangements, and logistics at an executive level.
