About the Role
This position offers a stable career opportunity with a well-established organization located near Union Station in the Greater Toronto Area. The role is hybrid, requiring attendance in the office two days per week. Role Overview and Responsibilities
- Handle intricate and frequently changing calendars while scheduling meetings and notifying executives of sudden updates.
- Ensure executives receive all necessary materials ahead of meetings to facilitate preparation.
- Anticipate executive needs and effectively prioritize multiple competing tasks.
- Arrange travel logistics such as flights, accommodations, and ground transportation, accompanied by detailed itineraries.
- Coordinate client events and represent the company on occasion as needed.
- Compose and refine correspondence for interaction with both internal teams and external stakeholders.
- Create reports and presentations tailored for senior and executive-level meetings.
- Organize both internal and external meetings ensuring all documentation is prepared in advance.
- Prepare and submit precise expense reports maintaining accuracy and compliance.
- Engage with external parties serving as an extension of the executives' office, upholding professionalism.
- Confidentially manage sensitive information and communications with strict discretion.
Qualifications
- At least seven years of experience supporting multiple senior executives in a dynamic, high-paced environment.
- Advanced time management skills with the ability to handle multiple priorities simultaneously.
- Proficiency with Microsoft Office applications: Word, Excel, PowerPoint, and Outlook.
- Post-secondary education completion is considered a strong advantage.
- Enjoys fostering relationships and collaborating with a diverse range of stakeholders.
- Detail-focused, proactive, and resourceful problem-solver.
- Excellent interpersonal skills combined with highly professional written communication abilities.
