Role Summary
The Toronto office is seeking an Executive Assistant to the President to support a busy senior executive in a fast-moving environment. This position requires a highly professional, discreet, and proactive individual who can manage executive priorities while also helping coordinate investor communications and materials.
Executive Support and Administrative Duties
- Coordinate the President’s full schedule, including meetings, calls, appointments, evening events, dinners, and travel, while working with external contacts for large meeting and travel coordination.
- Oversee calendar management, phone handling, and email management.
- Arrange detailed travel plans such as flights, hotels, and car rentals.
- Set internal timelines and gather materials for executive review.
- Prepare materials for board meetings.
- Help organize corporate events held away from the office.
- Keep a structured filing system for both physical and digital records related to the President.
- Track and reconcile expenses, payments, and supporting documents for the President’s corporate business account and executive card.
- Work with IT to address technology needs and follow up on help desk tickets.
- Order office supplies, technology, furniture, and related items on the President’s behalf.
- Review potential clients, partners, and their companies, then prepare summary notes for the President.
- Research industry events and speaking opportunities that may be of interest to the President.
Investor Relations Support
- Help coordinate investor events, email outreach, and the delivery of investor reports.
- Maintain investor records and contact lists in Yardi Investment Manager and Microsoft Excel for current and prospective investors.
- Support fundraising and co-investment activities by tracking responses and following up with interested investors.
- Prepare and distribute legal document packages for signature for new investments.
- Assist in delivering timely responses to investor questions and requests.
Qualifications
- Post-secondary education in commerce, finance, economics, or similar, or equivalent experience supporting a C-suite executive.
- Strong experience handling sensitive, confidential, and complex matters.
- Excellent written and spoken communication skills, with the ability to interact confidently with people at all organizational levels.
- Strong analytical and strategic thinking skills, with the ability to evaluate situations and recommend effective solutions.
- Excellent organization and prioritization abilities, with the capacity to meet deadlines consistently.
- Self-motivated and able to work well under pressure, ideally with prior experience supporting senior executives.
- Advanced project coordination skills and strong attention to detail.
- Excellent time management and a solution-focused mindset.
- Comfort working independently while also contributing as a team player.
- Solid financial understanding.
- Real estate experience is an advantage.
Tools and Technical Skills
- Strong proficiency with the Microsoft Office suite.
- Intermediate to advanced Excel capability.
- Advanced use of Word, PowerPoint, and Outlook.
- Experience with Adobe Acrobat, Nuance, DocuSign, and similar PDF tools.
- Familiarity with Yardi Investment Manager.
Compensation and Benefits
