Job description

Overview

The San Diego Padres are seeking a motivated Executive Assistant to provide comprehensive administrative and operational support to the President of Baseball Operations and senior leadership in the Baseball Operations department. This role involves calendar and travel management, coordinating meetings and events, and maintaining confidentiality while supporting numerous high-stakes activities throughout the baseball season.

Key Responsibilities

  • Deliver dedicated administrative assistance to the President of Baseball Operations and senior Baseball Operations leadership, including managing calendars, organizing travel, handling tickets, and preparing expense reports.
  • Execute administrative functions independently using sound judgment and tact, consistently upholding confidentiality and professionalism.
  • Oversee logistical arrangements for all San Diego-based meetings such as the Draft, Trade Deadline, Major League and Staff Meetings, General Manager Meetings, Winter Meetings, and Spring Training.
  • Schedule and manage interviews for Baseball Operations candidates, including coordinating travel and hospitality requirements.
  • Collaborate with the Executive Assistant to the CEO to manage the Baseball Operations Suite.
  • Administer game tickets and promotional giveaways to external partners including affiliates and vendors.
  • Provide game day logistical assistance, including nights and weekends when necessary.
  • Support the Amateur Scouting Department with preparation for the Rule 4 Draft meetings, Draft Combine, and related events.
  • Organize and coordinate special events like GM For a Day Guests, Annual Nomo Project visit, Spring Training Family Day, and the All-Star Watch Party.
  • Serve as a key resource for internal staff requests, ensuring efficient cross-functional coordination with relevant departments.
  • Consistently represent the club with professionalism, integrity, and a positive demeanor.
  • Take on additional tasks and projects as delegated by the President of Baseball Operations.
  • Develop innovative improvements to application and process performance, with a focus on reliability and scalability.

Qualifications & Skills

  • Proficiency with communication and productivity software including Slack and Microsoft Office Suite (Outlook, Excel, PowerPoint, Teams, Word); familiarity with eBIS software is advantageous.
  • Strong organizational skills paired with excellent time management and collaboration capabilities.
  • Effective written and verbal communication skills, and the ability to work cooperatively in a respectful team environment.
  • Ability to juggle multiple projects concurrently under tight deadlines.
  • Maintains a professional attitude marked by discretion, integrity, accountability, and composure.
  • Must be at least 18 years old at employment start.
  • Possess a 4-year bachelor's degree or an equivalent educational background.
  • Minimum two years of prior administrative experience; experience supporting C-suite executives preferred.
  • Bilingual ability in English and Spanish is an asset.
  • Reliable attendance and punctuality required.
  • Professional demeanor reflecting the club's standards.
  • Willingness to work flexible schedules including evenings, weekends, holidays, and overtime as necessary.
  • Ability to travel when required.
  • Physical capability to access various ballpark areas during lengthy events and lift up to 25 pounds.
  • Successful completion of all post-offer, pre-employment screening including background checks is mandatory.

Compensation & Benefits

In accordance with California's pay transparency law, this full-time position offers an hourly wage ranging from $30.00 to $33.00, based on qualifications, experience, and skills.
