Role Overview

This role transcends typical scheduling responsibilities. As the Executive Assistant to the President, you will serve as a critical multiplier of executive productivity, overseeing priorities, cutting through distractions, and becoming a trusted advisor. You'll gain invaluable insight into scaling a top-five national personal injury firm by managing communications, calendars, and cross-functional coordination for a high-output leader.

Key Responsibilities

  • Lead daily briefings with the President to align on priorities, highlight potential risks, and reduce distractions from strategic objectives.
  • Manage the President's inbox and Slack channels by triaging messages, drafting communications, routing requests, and ensuring no items are overlooked.
  • Convert recorded meeting transcripts into clear, actionable tasks within 24 hours and monitor their completion.
  • Oversee the President’s calendar end-to-end, protecting valuable time and coordinating schedules with executives, attorneys, and external partners.
  • Collaborate across operations, finance, technology, and human resources teams, tracking progress on key hires, state expansion initiatives, and board follow-ups.
  • Provide support for executive onboarding, travel arrangements, off-site events, and board meeting preparation.
  • Offer direct and candid feedback to the President when appropriate, exercising sound judgment regarding timing and delivery.

Candidate Requirements

  • Minimum five years of experience in an Executive Assistant, Chief of Staff, or senior operations capacity.
  • Exceptional written communication skills with the ability to compose messages that reflect senior leadership’s tone and style.
  • Highly organized with a proven ability to ensure nothing is missed or delayed.
  • Strong emotional intelligence, professional discretion, and confidence to communicate critical feedback to leadership.
  • Ability to establish structure amidst ambiguity and operate effectively in fast-paced settings.
  • Technologically adept, comfortable with email, Slack, calendar management, project tracking, and rapid adoption of new tools.

Preferred Qualifications

  • Experience as a C-suite Executive Assistant in a high-growth company with over 400 employees.
  • Familiarity with AI tools such as Claude, ChatGPT, or equivalents integrated into daily workflows.
  • Background in legal services, financial sectors, or managing operations spanning multiple states.

Compensation and Benefits

  • Salary range between $80,000 and $105,000 annually, based on experience and geographic location.
  • Eligibility for performance-based bonuses.
