About the Role
Join Joyce University as an Executive Assistant to the Chief Operating Officer (COO) and contribute to transforming healthcare education. This position is vital in supporting the COO as a trusted partner, facilitating strategic initiatives, enhancing operational excellence, and ensuring collaborative efforts advance the university's mission to empower students and strengthen healthcare's future.
Key Responsibilities
- Manage complex calendars, travel plans, and executive logistics for the COO.
- Act as the main liaison for internal and external contacts on the COO's behalf.
- Prepare executive communications, presentation materials, and meeting documentation.
- Handle confidential information with utmost discretion and professionalism.
- Anticipate executive needs, proactively resolve potential issues, and improve operational efficiency.
- Track strategic priorities and projects to ensure timely completion and accountability.
- Coordinate cross-departmental projects by managing stakeholders, schedules, deliverables, and status updates.
- Create project plans, executive dashboards, and progress reports supporting informed decision-making.
- Identify risks and escalate issues while mitigating barriers to project success.
- Facilitate communication and collaboration among university departments to uphold operational goals.
- Organize and coordinate leadership, committee, and project meetings including follow-ups and accountability tracking.
- Prepare meeting agendas and materials, documenting decisions and action points.
- Oversee logistics for special events such as leadership retreats, board meetings, and accreditation processes.
- Maintain organized records and compliance with policies and regulatory requirements.
- Support budget-related functions including invoice processing, expense tracking, and reconciliations.
- Conduct research and summarize findings to aid executive decisions.
- Leverage technology and AI tools to enhance productivity, reporting, communication, and workflows.
- Handle special university projects as assigned by leadership.

This is a full-time, onsite role based in the United States. The position focuses on operational partnership, strategic coordination, and executive support that directly contributes to the university's mission.
