Role Overview
An ongoing part-time opportunity is available for an experienced and motivated Executive Assistant to support the Chief Executive Officer at the Wayville head office. The position is mainly for one day each week, but flexibility is essential. During weeks when Board meetings are held, which is expected to be about once a month, the role may require up to three working days in that week.
This position provides administrative and secretarial support to the CEO and involves working closely with the Board, the Executive Management Leadership Team, Service Managers, staff members, clients, and outside organisations such as government and community agencies.
Reception and Administrative Duties
- Welcome clients in a courteous and professional way, and handle enquiries in person, online, and by phone.
- Support the wider executive team and Board as needed.
- Draft and prepare correspondence, reports, speeches, presentations, submissions, articles, and similar documents.
- Arrange meetings, prepare agendas, record minutes, and follow up on progress actions.
- Carry out general administrative tasks as directed.
Experience and Skills Needed
- A strong client service mindset with well-developed interpersonal communication skills.
- Confidence using Microsoft Office applications such as Word, Excel, Publisher, Outlook, and Access, or comparable database tools.
- The ability to work with community database systems.
