Role overview

This position supports the Chief Executive Officer and wider leadership group with executive, operational, and administrative coordination. It plays a key part in keeping the executive office running smoothly by managing priorities, communication, and follow-through on important business actions.

The ideal person will be highly organised, quick to act, discreet, and comfortable juggling several priorities in a busy environment. They will work as a dependable partner to the CEO by staying ahead of needs, keeping systems efficient, and making sure commitments are completed.

Core responsibilities

  • Plan and optimise the CEO’s schedule so time is protected and allocated to the most important priorities.
  • Manage the CEO’s correspondence, including email, Microsoft Teams, and other communication channels.
  • Serve as a main contact point between the CEO and both internal and external stakeholders.
  • Arrange meetings, business reviews, customer meetings, follow-up actions, and company events.
  • Monitor leadership tasks and commitments to ensure they are followed through on time.
  • Handle travel bookings, renewals, invoicing, and broader executive administrative tasks.
  • Draft presentations, reports, correspondence, and other executive-level documents.
  • Create and maintain effective administrative workflows and systems for the executive office.
  • Manage confidential and sensitive information with complete professionalism and discretion.

Skills and experience

This role calls for excellent written, verbal, and numerical ability, together with at least 5 years of experience supporting senior executives or C-suite leaders. The successful candidate should have a track record of handling demanding diaries, high-volume communication, and multiple competing priorities.

Strong project coordination skills are needed, along with the ability to keep actions moving to completion. Advanced capability in Microsoft 365 is essential, including Outlook, Word, Excel, PowerPoint, and Teams. Experience with Microsoft Copilot and other digital productivity tools is also required.

A solid grasp of business administration and financial administration is important. The role also requires a high level of organisation, strong attention to detail, initiative, practical problem-solving, and excellent interpersonal skills. The candidate must be resilient, adaptable, and able to operate with integrity, accountability, and sound judgement in a fast-moving business setting.

Reporting line

This role reports directly to the Chief Executive Officer.

Contract details

The position is being offered on a specified-purpose contract to cover a colleague’s leave period. The assignment will run for a minimum of 6 months.
