Role Overview
We are seeking a dedicated and meticulous Executive Assistant to provide personalized, high-level administrative and ad hoc support to our CEO and Founder. This critical role involves managing complex schedules, travel arrangements, communication flow, and some personal assistance tasks. The successful candidate will be a self-motivated individual with a strong sense of urgency and prior experience supporting senior executives.
Key Responsibilities
- Efficiently manage daily schedules, coordinate meetings, and handle logistics for the CEO, liaising with internal and external contacts.
- Plan and organize team and staff meetings, including executive offsite events.
- Arrange detailed and seamless travel plans for the CEO across the US and internationally to meet stakeholders and partners.
- Attend meetings as required, document key points, and ensure follow-up on action items with relevant parties.
- Anticipate executive needs and proactively address potential challenges with solutions.
- Prepare briefing materials to help the CEO stay informed on meetings' objectives, attendees, and agendas.
- Maintain confidentiality and exercise discretion in managing sensitive documents and meetings.
- Act as a positive representative for the CEO, fostering relationships with executives, the CEO’s personal network, investors, board members, and consultants.
- Manage the CEO's personal appointments and handle other selective personal tasks.
- Perform additional duties as assigned.
Candidate Profile
- Bachelor’s degree is required.
- Minimum of five years' experience supporting senior or C-suite executives, preferably with startup experience.
- Exceptional organizational skills with the ability to juggle multiple priorities in a dynamic, fast-paced work environment.
- Excellent communication skills, both written and verbal, including proficiency in creating presentations and drafting correspondence.
- Flexibility to work beyond conventional office hours as per executive demands.
- High level of discretion handling confidential information.
- Professional demeanor when interacting with a diverse range of stakeholders including investors, board directors, and executive teams.
- Ability to independently complete a high volume of assignments with minimal supervision.
Additional Information
This position can be held by candidates based in the US or elsewhere in the Americas, with pay commensurate to experience, skills, and location. Candidates must be fluent in English and willing to work in alignment with Pacific and Eastern Standard Time zones to accommodate the CEO’s schedule.
