Responsibilities
- Manage the Senior Vice-President's calendar by organizing appointments, coordinating agendas, scheduling meetings, booking rooms, and arranging necessary IT resources while proactively resolving scheduling conflicts.
- Screen and prioritize incoming emails to highlight items needing the SVP’s attention, decisions, or approval while tracking follow-ups and outstanding tasks.
- Coordinate travel arrangements and process expense reports and departmental invoices, maintaining accurate financial tracking.
- Draft confidential, strategic correspondence, meeting minutes, reports, and presentations, assisting in the preparation of management materials.
- Support onboarding and offboarding processes related to technology, corporate cards, expense and travel profile setup, and prepare materials for team or annual events in collaboration with leadership.
- Provide comprehensive executive support by anticipating needs, exercising discretion and diplomacy, managing Workday transactions as a delegate, and ensuring efficient use of executive time through briefing and organizational assistance.
Required Qualifications
- Minimum of 3 to 5 years of experience as an Executive Assistant supporting senior leadership in a fast-paced, confidential professional setting.
- Proven ability to handle sensitive information with utmost confidentiality and discretion.
- Excellent verbal and written communication skills demonstrating tact and diplomacy with diverse individuals.
- Strong proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Exceptional attention to detail, analytical thinking, and sound judgment ensuring accuracy and quality in all tasks.

Additional Information
- The position is based in Toronto at 81 Bay Street, 29th Floor, offering a hybrid work model with 1-3 days onsite weekly.
- The role requires 37.5 work hours per week.
