About the Role
This is an 18-month fixed-term contract position to provide dedicated, high-quality administrative assistance to one of the Vice-Chairs of the ISSB. The successful candidate will support the Vice-Chair by managing their complex and dynamic schedule, facilitating communications, and coordinating various logistical arrangements.
Team Context
The ISSB is supported globally by the IFRS Foundation's offices, with the Frankfurt office hosting the ISSB Chair and one Vice-Chair, while another Vice-Chair operates from Montreal. This role is based remotely and will actively promote the work of the ISSB in collaboration with colleagues across the Foundation.
Key Responsibilities
- Proactively manage the Vice-Chair’s calendar across multiple global time zones ensuring efficient scheduling.
- Handle incoming emails with professionalism and timeliness.
- Organize and schedule a broad array of internal and external meetings and events, coordinating with multiple participants worldwide.
- Record external engagements and speaking requests using Salesforce.com.
- Arrange detailed domestic and international travel plans, including itinerary creation, booking transportation and accommodation, and handling all visa and travel documentation requirements.
- Pre-approve and manage expense claims systematically.
- Collaborate closely with the Vice-Chair’s Technical Staff to facilitate preparation for external engagements and events.
- Coordinate with other departments such as Communications, Legal, and Technical to document and manage speaking engagements effectively.
- Provide general administrative duties and undertake ad-hoc tasks as assigned to support the Vice-Chair’s office.
Required Skills and Experience
- Proven experience supporting senior executives in international contexts, especially managing complex travel and scheduling across multiple time zones.
- Strong organizational and administrative capabilities.
- Exemplary integrity and professionalism, with careful handling of confidential or sensitive information.
- Ability to work collaboratively and maintain productive relationships with diverse teams and stakeholders remotely and in-person.
- Excellent verbal and written communication skills in English.
- Resourceful and proactive with flexibility to manage multiple diverse tasks while keeping attention to detail and maintaining composure.
- Proficiency in Microsoft Office suite, including Outlook, Word, Excel, SharePoint, Teams, and PowerPoint.
