Job description
Role Overview
We are looking for a highly organised and proactive Executive Assistant to support the Head of Wealth Management, Asia (HWMA). Positioned centrally within the leadership team, this role demands excellent judgment, discretion, and the ability to manage priorities in a fast-paced, client-focused setting.
Primary Responsibilities
- Serve as the main liaison for the HWMA, managing all administrative and logistical tasks with both internal and external parties.
- Manage complex calendars involving meetings, conferences, and engagements across different time zones.
- Coordinate and facilitate meetings, preparing materials, handling logistics, and ensuring follow-ups on decisions and action points.
- Handle correspondence professionally and discreetly, including emails and phone communications.
- Arrange travel plans, accommodations, and detailed itineraries for business trips.
- Process expense reports promptly and accurately.
- Organise and maintain filing systems to enable efficient document retrieval.
- Coordinate virtual and face-to-face meetings, including setting up video conferencing and managing AV support as needed.
- Gather and consolidate management reports by liaising with various stakeholders.
- Support the HWMA in advancing strategic projects by coordinating tasks, tracking progress, and ensuring execution across the Wealth Management business.
- Act as a hub for cross-functional alignment to meet business objectives timely.
- Help establish and maintain an effective routine for leadership team operations.
- Organise firm-wide and department events like offsites, town halls, and annual functions.
- Assist with onboarding and integration of new team members into the Wealth Management division.
- Coordinate team-building initiatives, client events, and social gatherings to enhance team spirit and performance culture.
- Offer flexible, high-quality administrative and project assistance for other duties assigned by the HWMA.
Candidate Profile
- Demonstrated experience supporting senior executives, preferably within wealth management, private banking, or financial services.
- Excellent organisation and time management abilities to handle shifting priorities efficiently.
- Experienced in managing intricate calendars, travel arrangements, and engagement with senior stakeholders.
- Maintains a high degree of confidentiality and professionalism in handling sensitive information.
- Proficient with Microsoft Office suite and collaboration platforms such as Outlook, Teams, PowerPoint, and Excel.
- Possesses a degree or relevant professional certification.
