Overview
Vanguard is hiring a highly dependable executive assistant to support the Head of Europe. This position sits in the European Executive Office, where the aim is to amplify the impact of the Head of Europe and the wider European Leadership Team. In this role, you will shape how the executive’s time is used so it stays focused on the most important strategic work.
You will work in a high-profile, fast-moving setting that calls for sound judgement, careful planning and the ability to bring order to a complex workload. The role is designed for someone who can help the Head of Europe lead with clarity, focus and measurable impact.
Responsibilities
- Control and prioritise access to the Head of Europe based on agreed processes and business priorities.
- Balance conflicting requests, make practical trade-offs and escalate issues when appropriate.
- Use contemporary tools, including AI-supported workflows, to improve scheduling, prioritisation and how time is allocated.
- Keep the Head of Europe well prepared, focused and ready to deliver effectively.
- Stay ahead of changes in priorities and identify needs before they are raised.
- Bring order and consistency to a demanding agenda.
- Apply AI and automation to reduce repetitive work, streamline processes and improve responsiveness.
- Remove logistical and operational obstacles so work can move forward smoothly.
- Serve as a reliable point of contact for senior leaders, Board members, clients, regulators and external partners.
- Represent the Head of Europe and the Executive Office with professionalism, judgement and discretion.
- Build strong working relationships across internal and external stakeholders.
- Deliver smooth end-to-end coordination of meetings and engagements, including complex international travel.
- Use AI tools to help prepare briefings, documents and correspondence while maintaining quality and consistency.
- Keep information flowing clearly and promptly in and out of the Executive Office.
- Use judgement to distil information and surface the most important points.
- Work closely with the Chief of Staff and the wider Executive Office team.
- Support leadership team cadences and key forums.
- Look for ways to improve ways of working, including introducing digital tools and AI into executive support.

- Proven background supporting senior executives in complex global organisations.
- Strong judgement and discretion, with the confidence to work independently as a trusted partner.
- Excellent prioritisation ability and the capacity to simplify complexity.
- Highly proactive mindset, with a habit of anticipating needs and solving issues early.
- Comfortable using digital tools, AI and automation to improve efficiency and insight.
- Sharp attention to detail, with a calm and solution-focused approach under pressure.
- Confidence working with senior stakeholders and handling sensitive situations.
- Commercial understanding and sound business judgement.
Additional information
This position is hybrid. You will be expected in the office on Tuesday, Wednesday and Thursday.
Visa sponsorship is not available for this role.
