Job description
Role Overview
We are looking for a highly skilled Executive Assistant to support the Head of Human Resources in Gurugram. This role involves managing strategic calendars, preparing executive dossiers, and driving decision follow-up. You will coordinate HR leadership meetings and play a vital role in various strategic HR initiatives, including transformation programs, governance, and executive communications.
Key Responsibilities
- Manage and optimize the CHRO's calendar aligned with business priorities.
- Prepare comprehensive briefs and executive dossiers for high-level meetings.
- Monitor leadership decision follow-ups and maintain ownership logs.
- Coordinate HR leadership meeting agendas and action items.
- Lead execution and tracking of HR transformation initiatives, including digital & AI transformation, culture changes, leadership development, succession planning, rewards restructuring, and workforce productivity improvements.
- Maintain governance by monitoring program milestones, cross-functional dependencies, and risk management.
- Track OKRs and strategic priorities for the CHRO.
- Act as a liaison with CXOs, business heads, and functional leaders to ensure follow-through of key initiatives.
- Create impactful presentations, strategy documents, and board-level reports.
- Design and facilitate monthly HR team alignment sessions across regions and business units to promote engagement and synergy.
- Drive HR team bonding activities, culture enhancement, and recognition programs.
- Develop and maintain executive dashboards for key HR metrics and provide data-driven insights for decision making.
- Identify and implement AI use cases to automate HR workflows; manage internal AI resources and collaborate on HR technology adoption.
- Draft communications such as board presentations, CEO updates, town halls, and HR newsletters maintaining consistent messaging.
- Manage governance forums including Monthly Business Reviews, Quarterly Talent Reviews, HR Council meetings, and Board submissions with ongoing decision tracking.
- Conduct market research on retail benchmarks and best employer practices and summarize findings into actionable executive insights.
- Foster strong collaboration with cross-functional teams including Finance, IT, Retail Operations, Business HR, Learning & Development, Talent Management, Compensation, and Marketing.
Required Qualifications and Skills
- Bachelor's degree or equivalent experience.
- 6 to 10 years supporting C-suite executives (CHRO, CEO, COO), or working in PMO, strategy office, HR transformation, retail, or consulting environments.
- Expertise in Microsoft Office suite, including advanced Excel, Power BI, PowerPoint, Tableau, and Google Workspace.
- Proficiency in generative AI tools (ChatGPT, Microsoft Copilot, Claude, etc.) and process automation.
- Strong strategic thinking, business acumen, program and stakeholder management skills.
- Experience in HR analytics, data visualization, presentation design, and meeting facilitation.
- Exceptional organizational, planning, time management, problem-solving, and communication abilities.
- Ability to handle high confidentiality with integrity and discretion, working independently and in ambiguous situations.
- Positive attitude, high ownership, agility, systems thinking, bias for action, and ability to influence without formal authority.
