Job Overview

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support to our Director. The successful candidate will be responsible for managing the Director’s schedule, coordinating meetings, handling sensitive information discreetly, preparing reports, and facilitating effective communication across departments.

Key Responsibilities

  • Oversee the Director’s calendar including appointments, meetings, and travel plans.
  • Arrange and coordinate both internal and external meetings efficiently.
  • Create meeting agendas, presentations, take minutes, and track follow-up actions.
  • Serve as the liaison between the Director and various internal and external stakeholders.
  • Manage confidential and sensitive information with utmost discretion.
  • Monitor important deadlines, commitments, and deliverables diligently.
  • Handle emails, official correspondence, and communication.
  • Prepare reports, management information systems (MIS), business presentations, and documentation.
  • Organize travel logistics such as flights, lodging, and itineraries.
  • Maintain records, files, and crucial documents systematically.
  • Collaborate with different departments to ensure timely task completion.
  • Support the Director in daily decision-making processes.
  • Follow up with department heads on their assignments and projects.
  • Track progress of major initiatives and keep the Director informed.
  • Coordinate with clients, vendors, and business partners as necessary.
  • Help plan corporate meetings, events, and formal reviews.

Qualifications and Experience

  • Bachelor’s degree in Business Administration, Management, Commerce, or a relevant discipline.
  • 3 to 8 years of experience as an Executive Assistant, Personal Assistant, or in a comparable role.
  • Previous experience supporting senior leadership or directors is preferred.
  • Proficiency with MS Office Suite: Word, Excel, PowerPoint, and Outlook.
  • Exceptional written and verbal communication capabilities.
