Role overview

This is an opportunity for an accomplished Executive Assistant to partner with a Chief Operating Officer and a Chief of Staff at a major international organisation. The business is described as a large global firm with strong benefits and a positive culture, and the position would suit someone who enjoys working at board level and supporting senior leadership in a fast-moving environment. The role is permanent, based in Central London, and follows a hybrid working model with four days each week in the office.

The successful person will be expected to start quickly, stay on top of shifting priorities, and act as a dependable support to two senior leaders. It is a visible, high-responsibility position where discretion, polish and strong coordination skills are essential.

Key responsibilities

  • Manage complex calendars and overflowing inboxes, keeping schedules organised and priorities clear.
  • Arrange travel within the UK and overseas, including detailed itineraries and visa coordination.
  • Draft and prepare polished presentations, reports, board papers and meeting packs.
  • Assist with board governance activities and help produce board-level materials.
  • Plan leadership away days, town hall meetings and internal company events.
  • Handle expenses, invoices and day-to-day executive administration.
  • Serve as a main contact for both internal colleagues and outside stakeholders.
  • Record meeting minutes and follow up on action items until completed.
  • Provide occasional ad hoc business support and, where needed, limited personal assistance.

Candidate profile

Applicants should bring a strong track record of supporting C-suite leaders in a demanding Executive Assistant capacity. Experience gained in a sizeable corporate environment is preferred, with financial services or professional services viewed as especially relevant.

You should be highly organised, able to juggle several priorities at once, and confident working at pace. Excellent written and spoken communication, a sharp eye for detail, and the ability to manage confidential matters carefully are important. The right person will remain calm under pressure, take a practical and solutions-led approach, and build effective relationships across all levels of the organisation.
