Role Overview
The Executive Assistant role is designed to provide high-level support to the Chief People Officer (CPO), acting as an essential partner to a C-suite executive. This position requires excellent judgment, discretion, and the capability to juggle diverse priorities within a complex global enterprise. The role involves fostering strong interdepartmental relationships, optimizing executive schedules, and contributing to organizational alignment within the People team and larger leadership.
Responsibilities
- Act as a trusted advisor to the CPO, managing priorities and ensuring alignment across executive responsibilities.
- Proactively identify needs and resolve challenges to guarantee smooth execution of business objectives.
- Oversee a dynamic global calendar, prioritize appointments, and align meetings with key business goals.
- Develop agendas, briefings, presentations, and materials for executive meetings and company events.
- Organize internal/external meetings, leadership retreats, and significant organizational activities collaboratively with stakeholders.
- Monitor action items, overseeing follow-up and timely completion of assigned tasks.
- Manage sensitive executive communications, act as an approval proxy, and handle confidential information discreetly.
- Collaborate with HR/People teams to support leadership schedules and critical strategic initiatives.
- Lead cross-functional coordination on strategic projects and international engagements, ensuring synergy with local teams.
- Arrange and support complex travel, including international trips, providing real-time assistance.
- Administer expense reporting, purchase orders, and internal processes, recommending improvements for operational efficiency.
- Assist on strategic initiatives by conducting research, analysis, and coordination to support executive decision-making.
- Mentor and collaborate with administrative colleagues to encourage consistency and alignment across the administrative functions.
Qualifications
- Over 10 years of experience supporting C-suite executives in fast-paced settings.
- Background working with senior leaders in large-scale, multi-billion-dollar public companies or similarly complex global firms.
- Preferred experience supporting People/HR leadership roles.
- Exemplary judgment, professionalism, and confidentiality.
- Proven skills in prioritizing complex tasks and multitasking effectively.
- Outstanding communication and organizational capabilities.
- Board interaction support experience is advantageous.
- Experience managing multiple executive priorities simultaneously is beneficial.
- Advanced proficiency with Microsoft Office tools.
- Requirement to be physically present daily at the Milpitas, CA office.
- Willingness to travel up to 15-20% as required.
