Role Overview

NDWA seeks a highly organized Executive Assistant to provide dedicated support to the Chief External Affairs Officer and the Chief Strategy & Impact Officer. This full-time remote position requires significant skill in managing complex calendars, arranging travel, handling sensitive communications, and facilitating daily operations for senior leadership. The successful candidate will be proactive, communicative, and adept at anticipating leadership needs in a dynamic setting. Reporting directly to the executives, this role is instrumental in advancing the organization’s strategic priorities and mission.

Key Responsibilities

  • Oversee and optimize scheduling for the CEAO and CSO, prioritizing appointments and meetings.
  • Manage confidential matters including sensitive documents and personnel issues with discretion.
  • Arrange all aspects of complex travel logistics efficiently and cost-effectively.
  • Prepare and submit accurate expense reports promptly.
  • Support management of daily email communication, flagging priority messages and ensuring timely replies.
  • Serve as a communication bridge between executives, internal teams, and external stakeholders.
  • Create and organize meeting materials, agendas, notes, and track follow-up actions.
  • Coordinate meeting, retreat, and event logistics ensuring seamless execution.
  • Maintain and manage digital contacts, records, and files for smooth information flow.
  • Identify problems proactively and contribute to improved workflows and processes.
  • Monitor deadlines and priorities in the External Affairs department to ensure projects meet timelines.
  • Participate actively in company-wide events including organizational retreats and all-staff meetings.

Required Qualifications

  • Proven experience working as an Executive Assistant or administrative support to senior or C-suite executives.
  • Expertise in calendar management, travel coordination, expense reporting, and executive support norms.
  • Exceptional organizational abilities with strong attention to detail and multitasking skills.
  • Excellent verbal and written communication skills paired with a diplomatic and confidential handling of information.
  • Proficiency in Google Workspace tools such as Google Calendar, Docs, and Sheets.
  • Ability to work independently and collaborate effectively within a fast-moving environment.
  • Residency within Eastern or Central U.S. time zones and availability during standard work hours (10:00 a.m. to 6:00 p.m. ET).

Compensation and Benefits

  • Competitive salary range between $66,950 and $75,000 annually.
