Role Summary
The Executive Assistant will provide comprehensive administrative and operational support primarily to the Chief Legal Officer and other designated executives. This position demands exceptional organizational abilities, discretion, and skill in balancing multiple demanding priorities within a confidential and fast-evolving landscape. The assistant acts as a trusted collaborator facilitating scheduling, document management, and timely execution of tasks, while supporting various leaders and the administrative team, offering backup assistance as needed.
Key Responsibilities
- Oversee complex scheduling for the Chief Legal Officer and other executives, managing meeting priorities and coordinating across multiple time zones and teams.
- Arrange travel plans including itinerary creation, logistics handling, and expense processing.
- Function as an intermediary between leadership and both internal and external stakeholders.
- Manage upload and distribution of Board and Committee materials using Boardvantage platform.
- Coordinate execution and maintenance of legal documents and board/committee minutes, adhering to strict confidentiality.
- Manage document routing and signature workflows along with document management systems.
- Assist with compliance monitoring, audits, and regulatory filings when required.
- Support cross-departmental projects and initiatives to enhance administrative efficiency.
- Identify and implement improvements in administrative processes and workflows.
- Manage departmental budgets, process invoices, purchase orders, and oversee vendor relationships.
Qualifications
- Bachelor's degree or equivalent professional experience.
- Over five years of executive administrative experience, ideally supporting senior legal leaders.
- Understanding of legal terms, board governance, and compliance procedures strongly preferred.
- Advanced skills in Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
- Outstanding organizational, time management, and multitasking capabilities.
- Meticulous attention to detail.
- Ability to exercise discretion and sound judgment handling confidential matters.
Additional Information
This position is fully remote with occasional travel expectations for company and team events. The anticipated annual salary is between 105000 and 120000 USD, influenced by factors including experience, education, and geography.
