Position Summary

The Executive Assistant supporting the Chief Executive Officer is a full-time, remote position that provides comprehensive administrative and operational assistance to the CEO. Key daily duties involve managing the CEO’s schedule, arranging meetings, organizing travel plans, preparing meeting agendas and related documentation. This role also includes project coordination and serving as the main liaison between the CEO and both internal teams and external contacts. Excellence in organization, clear communication, and multitasking in a dynamic environment are essential.

Key Responsibilities and Qualifications

  • Deliver executive-level administrative assistance directly to senior leadership.
  • Expertly handle calendar management and meeting scheduling, including complex coordination.
  • Help prioritize CEO's daily, weekly, and long-term initiatives to ensure focus on critical objectives.
  • Serve as gatekeeper for incoming requests, aligning activities with CEO priorities.
  • Perform document creation, records oversight, and track follow-ups on tasks and deadlines.
  • Organize CEO's guest appearances on podcasts and industry platforms.
  • Research and manage speaking engagements at conferences, trade shows, and events for the CEO.
  • Exhibit persistence in follow-up communications, especially with external stakeholders.
  • Manage special projects independently as assigned by the CEO.
  • Proofread and refine presentations, marketing collateral, and other written materials for clarity and accuracy.
  • Communicate effectively with professionalism and attention to detail.
  • Coordinate comprehensive travel logistics including flights, accommodation, ground transportation, and detailed itineraries.
  • Maintain discretion and appropriately handle confidential and sensitive information.
  • Demonstrate strong organizational and time management capabilities while working independently remotely.
  • Proficiency with technology tools such as Microsoft Office, project management software, CRM platforms, and virtual meeting tools.
  • Minimum five years’ experience supporting a C-level executive in a fast-paced and expanding company.
  • Possess an associate or bachelor's degree in business administration, communications, or a related discipline, or hold comparable professional experience.
