About the Role

Our client, a publicly traded medical device company near Irvine, CA, is searching for a highly adept Executive Assistant to become the primary support for the CEO and President, as well as assist the Executive Leadership Team. This full-time, direct hire position offers more than conventional administrative duties; it involves strategic partnership with top executives and collaboration with the Board of Directors to drive organizational success.

Key Responsibilities

  • Provide high-level executive assistance to the CEO & President and support the Executive Leadership Team as required.
  • Efficiently handle complex calendars, prioritize competing priorities, organize meetings, and anticipate scheduling requirements.
  • Draft, refine, and manage executive correspondence, reports, presentations, Board materials, and other business documents with professionalism and accuracy.
  • Coordinate all aspects of Board of Directors activities including meetings, agenda preparation, Board books, minutes, resolutions, and tracking of action items.
  • Build and nurture relationships with Board members, executives, staff, customers, investors, and external partners, acting as a representative for the executive team.
  • Contribute to strategic initiatives, cross-departmental projects, and critical business goals.
  • Plan and manage executive meetings, Board meetings, and events, both onsite and virtual, ensuring flawless execution.
  • Arrange complex domestic and international travel logistics covering flights, accommodations, transportation, visas, and detailed itineraries.
  • Oversee executive travel and expense management using Concur or similar systems.

Qualifications and Skills

  • Bachelor's degree preferred with 7 to 10+ years of experience supporting CEOs, Presidents, or other C-suite executives.
  • Demonstrated expertise working with a Board of Directors including managing meetings, materials, communication, and execution of Board affairs.
  • Experience in publicly traded companies with understanding of corporate governance, SEC filings, and confidentiality requirements preferred.
  • Skilled in handling complex calendars, international travel, and balancing multiple priorities across various time zones.
  • Background in medical device, biotechnology, life sciences, or healthcare industries strongly preferred.
  • Exceptional communication, organizational excellence, relationship management, and meticulous attention to detail.
  • Advanced knowledge of Microsoft Office suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools like Microsoft Teams or Zoom.
  • Highly self-motivated and able to produce polished, high-caliber work with minimal supervision.
