Role Overview
This Executive Assistant position supports the President/CEO, acting as a strategic partner and trusted advisor. The role demands stellar organizational skills, mastery of advanced Microsoft Excel features, familiarity with AI tools, and experience in healthcare operations to ensure smooth executive office management.
Key Responsibilities
- Organize and prioritize the CEO’s schedule, meetings, and travel plans.
- Create and refine correspondence, reports, and presentations utilizing advanced Excel capabilities such as pivot tables, dashboards, and data analysis.
- Serve as a communication bridge between the CEO and internal or external stakeholders, ensuring prompt messages and follow-ups.
- Leverage AI-enabled tools to optimize scheduling, workflows, and extract data insights.
- Support the CEO in using AI technologies to enhance operational efficiency and strategic planning.
- Apply healthcare knowledge in managing projects and coordination affecting patient care and organizational outcomes.
- Collaborate with clinical and administrative teams on relevant initiatives.
- Assist in strategic project planning and execution meeting all deadlines and goals.
- Maintain strict confidentiality and handle sensitive information with discretion.
- Be available for national travel as necessary.
- Perform miscellaneous duties as required.
Qualifications and Experience
- Bachelor’s degree in Business Administration, Healthcare Management, or a related field.
- At least five years of experience supporting senior executives, ideally within the healthcare sector.
- Demonstrated advanced skills in Microsoft Excel (formulas, data visualization) and familiarity with AI tools.
- Strong organizational and time management capabilities.
- Excellent communication and interpersonal skills with professionalism and discretion.
- Experience with hospital credentialing processes and healthcare compliance.
- Proactive problem-solving and ability to anticipate executive needs.
- Technologically proficient, eager to innovate and improve processes.
- Exceptional listening, collaboration, and critical thinking abilities.
- High integrity with a dedication to providing value to clients and colleagues.
