The Role

We are looking for a highly capable Senior Executive Assistant to provide comprehensive support to our CEO & Founder, covering both professional and personal needs. This pivotal and confidential position demands exceptional discretion, excellent judgement, and the capacity to manage a wide-ranging and dynamic workload effectively. Acting as an extension of the CEO, you will coordinate complex business activities while ensuring personal commitments are handled smoothly. Responsibilities

  • Oversee the CEO's busy business and personal calendar, prioritizing commitments effectively.
  • Serve as a reliable gatekeeper and main liaison to internal and external parties.
  • Collaborate closely with other Executive Assistants within the CEO Office to ensure smooth coordination of schedules and priorities.
  • Prepare agendas, briefing documents, presentations, and relevant supporting materials for meetings.
  • Handle correspondence, emails, and communications for the CEO as needed.
  • Organize board meetings, investor and leadership sessions, and other crucial business events.
  • Monitor follow-ups on actions, priorities, and strategic projects to ensure timely completion.
  • Arrange events, dinners, meetings, and engagements outside the office.
  • Manage expense reports, invoices, and administrative procedures.
  • Coordinate personal appointments, commitments, and lifestyle management tasks.
  • Liaise with household staff, advisors, service providers, and external vendors as required.
  • Maintain absolute confidentiality with sensitive business and personal information.
  • Support various ad hoc projects related to both business and personal matters.
  • Continuously seek ways to enhance efficiency and optimize the CEO's productivity.

Requirements

  • At least 8 years’ experience as an Executive Assistant supporting CEOs, Founders, Principals, or senior executives.
  • Proven background in investment management, asset management, hedge funds, private equity, venture capital, family offices, or similar demanding sectors.
  • Experience supporting founder-led organizations during periods of rapid growth, transformation, and commercial achievement.
  • Demonstrated ability to act as a strategic partner rather than just an administrative assistant.
  • Exceptional organizational skills and great attention to detail.
  • Excellent communication and stakeholder management capabilities.
  • High emotional intelligence, sound judgement, and discretion.
  • Capacity to anticipate needs, independently resolve issues, and remain calm under pressure.
  • A proactive, resourceful, and service-driven approach.
  • Strong commercial insight and understanding of the demands involved in supporting senior leadership.
  • Impeccable integrity and ability to manage confidential information with care.
  • Dedication to the Executive Assistant profession with pride in delivering outstanding results.
