About the role
This is a senior Executive Assistant position supporting the CEO in a trusted, high-impact capacity. The role acts as a true business partner, helping manage executive, operational, and strategic priorities while keeping key workstreams moving across the organisation.
Rather than focusing only on administration, this role sits at the centre of coordination, execution, and accountability. It helps ensure the CEO is spending time on the most critical matters while bringing clarity and structure to fast-moving priorities, board-related work, and cross-functional initiatives.
The position also oversees administration support across multiple locations, making sure service levels remain consistent and aligned with business needs. You will work closely with senior leaders to manage complexity, surface issues early, and help translate decisions into action.
This is a full-time role based in the Sydney CBD office and reports directly to the CEO.
Key responsibilities
Executive and CEO support
- Keep the CEO's calendar, priorities, and communications organised so time is used effectively.
- Draft executive briefings, board materials, and important business documents.
- Arrange executive and board meetings, including agendas, minutes, and follow-up action tracking.
Strategic and operational delivery
- Coordinate the rollout and progress of strategic initiatives across teams.
- Monitor actions, escalations, and outcomes to support delivery and accountability.
- Provide structure and clarity when business priorities are complex, urgent, or changing quickly.
Project management and governance
- Support PMO activity for key initiatives, including timelines, responsibilities, and tracking.
- Maintain strong governance, reporting, and operational processes.
- Spot opportunities to improve how the business executes and follows through.
Office operations and vendor management
- Oversee office operations, facilities, and workplace planning across locations.
- Manage relationships with vendors, contractors, and landlords to keep operations running smoothly.
- Support office relocation, fit-out, and workplace improvement projects.
Team leadership and employee experience
- Lead and develop the administration function across NSW and VIC.
- Set consistent service standards and drive operational excellence across teams.
- Work with People & Culture on employee engagement and experience initiatives.
Administrative and operational support
- Arrange travel, events, and executive logistics for the leadership team.
- Create polished presentations, communications, and business documents.
- Manage expenses, approvals, and other general operational support tasks.
