Role Summary

We seek an exceptionally organized and detail-conscious Executive Assistant to serve as the right hand to the CEO of this rapidly expanding enterprise. This role requires active execution skills to ensure streamlined operations, meticulous attention to detail, and reliable task completion. Responsibilities include managing the CEO’s schedule, communications, travel logistics, and day-to-day operational duties.

Key Duties

  • Oversee and maintain the CEO's calendar, schedule meetings, calls, and appointments while resolving conflicts and sending timely reminders and preparatory materials.
  • Manage communications by screening calls and emails, responding to routine inquiries on behalf of the CEO, drafting standard correspondence, and coordinating vendor communications.
  • Arrange all travel logistics including flight bookings, accommodations, transportation, itinerary preparation, and expense management, adapting swiftly to changes.
  • Support daily operations by preparing documents and presentations, organizing files, processing invoices, coordinating vendor relations, and managing meeting facilities and catering.
  • Track tasks and projects, maintain the CEO’s task management system, follow up on action items from meetings, update project statuses, and issue reminders for deadlines.
  • Coordinate property management and office facilities services including maintenance, supply inventory, vendor relations, equipment setup, and scheduling property inspections.
  • Perform routine business operations such as organizing vendor meetings, managing contract processes, following up on outstanding matters, conducting low-level negotiations, and maintaining subscription renewals and filing systems.

Qualifications and Candidate Profile

  • Between 2 and 5 years of experience in roles such as Executive Assistant, Chief of Staff, or operational support.
  • Proven ability to juggle multiple priorities efficiently, especially under time constraints.
  • Strong written communication capabilities and high discretion handling sensitive business and personal information.
  • Experience supporting startup founders, executives, or operating in high-velocity entrepreneurial environments is advantageous.

Working Conditions

  • Location: Onsite at the Buckhead area office in Atlanta, GA.
  • Employment Type: Full-time, approximately 40-50 hours per week.
  • Hours: Primarily standard business hours with some flexibility required.
  • Availability: Prompt responsiveness during work hours for urgent matters, occasional evening or weekend availability needed for critical issues.
