Job description

Overview

This role is for an Executive Assistant supporting a C-level leader in a private equity environment. The position is based in New York City and is designed for someone who can operate as both an administrative partner and a strategic support resource in a high-velocity setting. The successful candidate will help keep priorities moving, protect the executive’s time, and handle sensitive matters with care and discretion.

The organization offers a collaborative, inclusive workplace where initiative and innovation are valued. The EA will work closely with the Co-Founder to support strategic activity, manage day-to-day execution, and contribute to the smooth running of leadership operations.

Role scope

This is an in-office position requiring attendance 4 to 5 days per week.

Compensation is stated as a base salary of 130000 to 150000 dollars, plus a bonus target of 15% to 30%.

The expected experience range for the role is 3 to 12 years.

Key responsibilities

  • Own calendar management for the executive, including meeting scheduling, appointment prioritization, and ongoing coordination to support efficient time use.
  • Prepare meeting materials such as agendas, decks, reports, and supporting documents.
  • Monitor and respond to incoming communication across phone, email, and messaging channels in a timely and professional manner.
  • Arrange complex business travel end to end, including flights, hotels, local transport, and itinerary planning with cost and time efficiency in mind.
  • Track travel-related documentation and expenses, and remain proactive about upcoming travel needs.
  • Support a range of assigned projects and ad hoc initiatives, ensuring deadlines are met and outcomes align with business priorities.
  • Research topics as needed and turn findings into concise briefs that inform leadership decisions.
  • Act as a connector between the executive and internal or external stakeholders, maintaining strong working relationships.
  • Coordinate communication across teams to help operations run smoothly.
  • Handle confidential information with a high level of professionalism and discretion.
  • Use sound judgment to manage competing demands and keep the executive focused on strategic goals.

Qualifications

  • A bachelor’s degree is preferred, though equivalent professional experience may also be considered.
  • Prior experience supporting C-suite leaders, department heads, or senior management in a fast-paced setting.
  • Strong background in managing complex calendars and travel logistics.
  • Well-developed organization, prioritization, and multitasking abilities.
  • Clear written and verbal communication skills.
  • Working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook, along with familiarity with project management tools.
  • Ability to work independently as well as collaboratively within a team.
  • Professional integrity, a proactive mindset, and a consistently positive attitude.

Additional compensation and working details

The role includes a bonus opportunity of 15% to 30% in addition to base pay.

Work schedule is in-office 4 to 5 days each week.
