Role Overview
As an Executive Assistant / Secretary, you will serve as a reliable organizational partner to the executive board. Based in Karlsruhe, you will help keep daily operations running smoothly and support leadership with high-level administrative coordination. The position is planned to begin in April 2026 and includes options for remote work.
Key Responsibilities
- Plan, manage, and continuously adjust demanding calendars with strong attention to priorities and deadlines.
- Arrange business travel for international trips, including schedules, bookings, and complete logistical coordination.
- Prepare board and leadership meetings, and document decisions carefully and accurately.
- Serve as a central contact for both internal teams and outside business partners.
- Draft, process, and manage confidential communication in both German and English with complete discretion.
- Improve administrative workflows to help the executive office operate more efficiently.
- Coordinate company events and internal gatherings that support a positive workplace culture.
- Support leadership in a high-responsibility environment with professionalism and strong organizational control.
Requirements
- You have completed a commercial apprenticeship or hold a degree in business administration.
- You bring several years of experience supporting board-level or managing-director-level executives.
- You have native-level or C2 German skills and communicate confidently in English.
- You are highly proficient with MS Office and common digital collaboration tools.
- You are dependable, discreet, and present yourself with confidence and professionalism.
- You have excellent time-management skills and remain composed when workload or pressure increases.
Additional Information
The starting date for this position is April 2026. The role is based in Karlsruhe, Baden-Württemberg, Germany, and remote work is available. An attractive compensation package is offered.
