Role Overview

The Executive Assistant supporting the Office of the CEO plays a key role in providing comprehensive administrative assistance tailored to the CEO’s evolving priorities and broader company initiatives involving executives, board members, and external partners. This in-office full-time position operates out of San Francisco and supports a shared services model under the Director of Administration – Executive Operations.

Key Responsibilities

  • Coordinate and manage intricate calendars, process expense reports, and handle confidential communications and travel arrangements for Crusoe’s leadership team, ensuring clear and timely stakeholder updates.
  • Facilitate scheduling for leadership’s direct reports by managing meeting requests to effectively optimize executive time across teams and external engagements.
  • Document meeting agendas and notes, and coordinate follow-up actions to maximize meeting productivity.
  • Lead the organization and execution of leadership offsites, team gatherings, and events, managing logistics, vendor relations, agendas, and onsite support.
  • Develop and implement process improvements to enhance team collaboration, communication, and operational efficiency.
  • Coordinate cross-team efforts with other executive assistants and workplace managers concerning corporate travel, conference registrations, and company-wide events.
  • Serve as backup support for other executive assistants during absences to maintain continuity on projects and executive support duties.
  • Maintain availability beyond regular hours for urgent executive matters and fulfill additional assigned tasks.

Qualifications and Skills

  • Minimum of seven years in executive administrative roles, including direct support to C-suite executives at growing tech companies with distributed international teams.
  • Excellent written, verbal, and interpersonal communication abilities, with meticulous attention to numerical details, logistics, and confidential correspondence.
  • Demonstrated discretion with sensitive information and adeptness at managing competing priorities in dynamic environments.
  • Proven track record in successfully planning and executing large events or offsites, and crafting clear executive communications such as decks and agendas.
  • Self-driven with a proactive approach to process improvements and ability to work independently while maintaining alignment among stakeholders.
  • Skilled in Google Workspace applications and experienced with AI productivity tools or automation technologies to streamline executive workflows.
  • A growth-oriented mindset, capable of cross-functional collaboration, and alignment with Crusoe’s culture and values.

Compensation Details

Annual salary ranges from $105,000 to $135,000 plus bonus eligibility, with restricted stock units included in all packages. Final pay will reflect individual qualifications, experience, and market competitiveness.
