Role Overview
The Executive Assistant / Office Coordinator will provide high-level, confidential administrative support to multiple executives. The position calls for strong judgment, initiative, discretion, and the ability to handle varied and sometimes complex tasks, including executive scheduling, event coordination, travel planning, and issue resolution.
Working with limited supervision, this person will act on behalf of supported executives based on their preferences and priorities while staying aligned with company policies, practices, and corporate requirements. In addition, the role includes periodic office management and operational support for the headquarters office, such as mail handling, office organization, and workplace coordination for employees and visitors.

Key Responsibilities
- Manage sensitive information carefully and maintain strict confidentiality at all times.
- Set priorities, resolve routine operational challenges, and keep daily work moving efficiently.
- Help executives make the best use of their time through thoughtful planning and coordination.
- Organize meetings and events, including logistics, agendas, participant communication, and follow-up.
- Research and suggest suitable venues for meetings, off-sites, and conferences.
- Maintain attendee lists and track confirmations for off-site gatherings and events.
- Provide on-site assistance when required for meetings, conferences, and company activities.
- Support the planning and execution of company events, including vendor research, negotiation, and coordination.
- Arrange domestic and international travel, including flights, lodging, and ground transportation.
- Coordinate with corporate travel services to ensure smooth travel experiences for executives.
- Act as a professional contact point for executives, managers, visitors, and outside partners.
- Respond to information requests from internal teams and external contacts.
- Maintain and update information within the platform as needed.
- Manage executive calendars, appointments, meetings, and related scheduling needs.
- Collect, analyze, and organize data for reports and presentations.
- Keep databases current and easy to access for reporting and reference.
- Serve as a contact for headquarters office support and provide periodic on-site coordination.
- Receive, sort, distribute, and process incoming mail and packages.
- Coordinate office vendors, supplies, maintenance requests, and general workplace operations.
- Support on-site logistics for executive visits, employee visits, and office-based company events.
- Assist with contract-related workflows, including electronic signatures, purchase orders, CAFs, MSAs, and CSAs, while supporting compliance and efficiency.
- Step in to cover colleagues during sick leave or vacation periods.
- Research and help secure corporate discounts for business services.
- Provide ad hoc support to senior executive assistants and the MSL team as needed.
