Role overview
This position supports the Managing Director through a mix of strategic, administrative, and operational assistance. The aim is to keep the MD’s priorities moving smoothly by combining excellent organization, judgement, discretion, digital skills, communication, and stakeholder coordination.
Key responsibilities
- Build polished presentations, reports, and briefing packs for leadership reviews, meetings, and other internal or external forums.
- Convert the MD’s ideas, data, and strategy into clear, engaging, and visually strong slide decks.
- Use strong design sense and digital fluency to make presentations communicate effectively and professionally.
- Organize and fine-tune the MD’s calendar so it always reflects business priorities.
- Plan and schedule internal and external meetings in an efficient, proactive manner.
- Spot conflicts early and adjust schedules when priorities change.
- Serve as the main coordination link between the MD and internal as well as external stakeholders.
- Manage incoming communication, ensuring prompt replies and appropriate follow-up.
- Prepare professional emails, notes, and other written communication on behalf of the MD.
- Develop agendas, background notes, and meeting briefs for important discussions.
- Document key takeaways from meetings and keep track of follow-up actions on strategic workstreams.
- Monitor key projects and MD priorities to support timely execution.
- Handle confidential files, reports, and records with a high level of privacy and care.
- Track the MD’s expenses, make sure submissions are timely, and reconcile them according to company rules.
- Coordinate vendor bills, invoicing, and payments linked to the MD’s office or related activities.
- Work with the finance team to ensure approvals, reimbursements, invoices, and expense reports move through smoothly.
- Arrange domestic and international travel, including itineraries, visas, and accommodation.
- Plan logistics for guest visits, meetings, and related events so execution is seamless.
Candidate profile
The ideal candidate brings 8 to 10 years of experience supporting senior leaders or C-suite executives. You should be highly organized, meticulous, and comfortable managing several priorities in a fast-moving environment. Strong written and spoken communication skills are essential, along with advanced PowerPoint and presentation-building ability. You should also be digitally savvy, visually strong in storytelling, discreet with sensitive information, and confident managing senior stakeholders. Proactivity, resourcefulness, and the ability to anticipate needs are important for success in this high-visibility role.
