Role overview

This position is for an Executive Assistant who will give organized, proactive, and high-quality administrative support to Partners and Principals. The aim is to help senior leaders manage time and priorities efficiently so they can stay focused on client work, business growth, and firm-wide initiatives. The role follows a standardized operating model, while still adapting to the specific needs of leaders and the business.

Executive support

  • Provide end-to-end support to Partners and Principals, staying ahead of needs and balancing shifting priorities.
  • Keep diaries and inboxes under control so schedules are used well and messages are handled quickly.
  • Prepare leaders for meetings by gathering relevant materials, writing briefings, and tracking follow-up items.
  • Organize meetings, workshops, offsites, and events, including all logistics and supporting documents.
  • Book travel and accommodation in accordance with company policy.
  • Create and refine professional documents, presentations, and reports using PowerPoint, Word, and Excel.
  • Track expenses and timesheets accurately and within required timelines.
  • Work with Business Managers to align calendars with utilization goals and project needs.
  • Step in to support other Executive Assistants when needed across the wider team.

Business development and client support

  • Assist with client relationship management and business development tasks through platforms such as Latitude.
  • Keep client contact records and pipeline information current and accurate.
  • Arrange and monitor client meetings so engagement and pipeline objectives are supported.
  • Prepare meeting packs and other materials that help client conversations run smoothly.
  • Coordinate with Marketing and Communications to support client engagement activity.
  • Handle the contract and terms-and-conditions workflow, making sure items are completed on time and issues are escalated when needed.
  • Develop strong working relationships with client executive assistants and other important stakeholders.
  • Share client insights and industry developments to encourage proactive outreach.

Collaboration and team contribution

  • Represent Heidrick & Struggles professionally and discreetly, while reflecting the firm’s values in every interaction.
  • Manage sensitive and confidential information with care and judgment.
  • Work with the global EA community and consulting teams to exchange best practices and support consistency.
  • Help strengthen team culture, connectivity, and ongoing improvement efforts.
  • Look for process improvements that make service delivery faster and more effective.
  • Attend meetings to stay informed about partner pipelines, project opportunities, and wider firm priorities.

Systems, process, and compliance

  • Use firm tools and systems effectively, including Latitude, PeopleSoft, Box, Outlook, Word, Excel, PowerPoint, and Heidrick Gateway.
  • Apply approved templates, branding standards, and file management practices.
  • Follow administrative and operational policies to stay compliant.
  • Support accurate records, reporting, and data quality across systems.
