About the Role

The Executive Assistant II plays a critical role in delivering organizational and administrative support to one or more A+E teams, reporting directly to an executive-level member. The position demands efficiency in managing schedules, coordinating projects, and streamlining team workflows in a dynamic and collaborative environment. Candidates should be tech-savvy, proactive, and skilled at handling shifting priorities discreetly and professionally, including utilizing AI-based tools to enhance productivity.

Key Responsibilities

  • Deliver thorough administrative and operational support to ensure project momentum and stakeholder alignment.
  • Organize calendars, facilitate scheduling of meetings—both virtual and in-person—prepare agendas, compile meeting materials, document notes and summaries, and manage follow-up actions.
  • Act as a liaison with internal teams, external vendors, and production partners, maintaining professional communication especially with senior leadership.
  • Arrange travel logistics and manage company expense reports.
  • Identify and implement process enhancements to improve team efficiency and daily operational flow.
  • Support logistical needs of meetings, including room arrangements and catering coordination.
  • Assist in special projects, research tasks, reporting, and presentation preparations, ensuring deadlines and priorities are met.
  • Utilize AI-enabled technologies to optimize administrative tasks such as document drafting, information organization, and workflow management.
  • Exercise discretion and sound judgment when managing confidential and sensitive information.

Required Qualifications

  • Minimum five years of corporate experience supporting executives or teams.
  • Proficiency with Microsoft Office suite (Outlook, Word, Excel, PowerPoint) and collaborative digital platforms.
  • Strong organizational capabilities, effective time management, and ability to prioritize multiple tasks under changing demands.
  • Willingness or prior experience using AI tools to assist with administrative and organizational responsibilities.

  • Proactive, detail-focused, and adept at managing multiple concurrent responsibilities while anticipating needs.
  • Excellent professional communication skills including written clarity and proofreading.
  • Tech-savvy with a readiness to learn new tools and systems, especially AI-supported solutions.
  • Demonstrates maturity, discretion, and sound decision-making in handling sensitive information and senior stakeholder interactions.
  • Positive, solution-driven, and collaborative, able to work independently and as part of a team.
  • Expertise in managing multiple priorities with strong follow-through.

Compensation and Benefits

The hourly pay range is approximately $39.74 to $45.70, with an annual incentive target of 5%. Total compensation packages reflect candidates' qualifications, experience, skills, and location. Benefits include healthcare coverage and 401k matching among others.
